Summary Under the guidance of the Director of Catering/Conference Services and within policies and procedures in force, ensures that the catering department is in operational level in regards to service procedures and Trump International Beach Resort-Miami standards. Works directly under the Director of Catering/Conference Services but maintains close communication, Banquet Department, Outlet Managers, Convention Services, Sales Managers, and Executive Chef. Essential Duties & Responsibilities Includes the following, but not limited to as other duties may be assigned. This position will focus on both the Social Market and Conference Services for Corporate Groups and will be responsible for meeting budgeted social catering goals and generating top line revenue for the hotel. Maintains relationships with past local individuals to promote and establish social, convention and conference business. Meets with potential clients in order to book definite catering events. Responsible for arranging all food & beverage details for functions assigned. Coordinates and supervises the preparation, presentation, and service of food and beverage products of functions to ensure highest quality at all times. Works with clients to prepare menus and floor plans and assists them in other needs as flowers, photographers, and entertainment. Monitor the performance of the events through verifications and analysis of customer satisfaction systems. Coordinates all pre-planning with groups. Controls function event sheet. Chairs and coordinates weekly BEO meeting. Coordinates pre and post convention/conference meetings. Controls labor cost of banquet events in cooperation with Director of Catering and Banquet Captain. Reviews with all Managers any information of past, present and upcoming events. Coordinates functions and activities with other department heads as appropriate. Implement a daily, weekly, and monthly checklist for the catering department. Ensures follow up to attain maximum quality and efficiency. Keeps aware of trends, systems, practices and equipment in food & beverage through trade literature and actual visits. Ensures that all BEO’s and paperwork has been completed properly. Assists the Director of Catering with budgets and forecasts. Controls the audio/visual and banquet set up. Controls all definite files as to contracts and details committed Daily inspection of meeting rooms for physical appearance/maintenance needs (burned out light bulbs, broken furniture, aligned tables, flowers, plants, clean windows. Etc. ) Communicates the cleaning needs for the physical part of the meeting rooms in cooperation with Banquet Captain and Stewarding/Set up department. Communicates all maintenance needs of all meeting rooms. Understands any requests from guests such as any frequent function requests, specially prepared menus. Ensures proper billing to guest folios and master accounts. Works closely with accounting as to billing arrangements. Adheres to all Trump International Beach Resort Safety and Sanitation Guidelines. Qualifications Qualifications Requirements To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience Demonstrated knowledge of, and ability to manage, a catering operations through: Bachelor’s degree (hotel school, University, and/or equivalent experience). Must be familiar with Microsoft Office, Excel, Daylight or Delphi. One years previous experience in a similar position catering department in a first class hotel, at least one of which were in a manager’s position preferred. Language Skills Team Member must demonstrate effective English communication skills when dealing with other departments, clients, and hotel employees. Must demonstrate ability to read and follow written and verbal English instructions. Due to the market team member must be able to communicate fluently in Spanish.
