Coordinate meeting planning support and website registration for up to 15-20 meetings per year. Support a team of meeting planners. Research and gather information for meeting websites. Work with IT department to create website and reports from testing to site going live. Attend virtual planning meetings. Track web-based meeting registration. Prepare registration and various reports. Coordinate and track all meeting materials ensuring consistency and branding across all materials and working with other departments and outside vendors. Provide onsite support for local (Washington, DC area) and out-of-town meetings. Provide support for virtual meetings primarily hosted on Zoom and MS Teams. Communicate with supervisor on deadlines and/or challenges with meeting deadlines. Prepare registration rosters, name badges, and name tents. Answer inquiries from invited participants. Print, copy and prepare handouts, signage, and other materials as needed. Maintain inventory of supplies to be used at meetings and conferences. Prepare packing materials to be transported to and from event locations and oversee coordination with shipping company and facilities. Use Microsoft Office (Word, Excel, and PowerPoint) and Adobe Acrobat to create and track meeting materials. Use SurveyMonkey as needed. Qualifications Minimum 3-5 years of related experience. Experience in event and meeting planning for Federal agencies is a plus. Bachelor’s degree. Equivalent combination of relevant education/experience will be considered.
