Science Education Specialist, Annual Meeting

POSITION SUMMARY
The Science Education Specialist, Annual Meeting is responsible for day-to-day management of projects or tasks related to the ASH Annual Meeting Scientific Program. Specifically, the Specialist works directly with member volunteers to develop, vet, manage, execute, and evaluate the scientific committee sessions, scientific spotlights, scientific symposia, special interest, and meet the scientist sessions within the ASH Annual Meeting. In addition, the Specialist serves as a liaison to other departments on organization-wide initiatives related to content development and evaluation for the Annual Meeting Scientific Program. The Specialist also collaborates with Specialist, Science Education, Programs on other content development within the department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manages day-to-day activities related to development, vetting, execution, and evaluation of scientific content (scientific committee sessions, scientific spotlights, scientific symposia, meet the scientist, and special interest sessions) for the ASH annual meeting.
- Facilitates speaker invitations to scientific content as described above.
- Executes the scheduling of meetings, conference calls, and other events related to planning the Annual Meeting content listed above.
- Responds to inquiries about programmatic content issues for ASH annual meeting scientific program.
- Manages scientific content in speaker management database as well as membership database.
- Communicates directly with meeting participants (chairs, speakers, attendees) with regards to their roles and responsibilities.
- Organizes peer-review and other evaluation activities for programs and meetings developed by the department.
- Maintains open communication with internal ASH Departments (e.g., Education, IT, Marketing, Meetings, Publications) for successful execution of program content.
- Interacts with the Education Department on scientific content that may need to be certified for Continuing Medical Education.
ASH Annual Meeting
- Works collaboratively with the Director, Scientific Affairs to organize and coordinate conference calls and meetings related to the science education program planning process.
- Supports current, incoming, and newly appointed ASH annual meeting scientific program co-chairs in planning the annual meeting scientific program including Scientific Committee Sessions, Special Scientific Symposia, Scientific Spotlights, Meet the Scientist, and Special Interest programming.
- Assists in the development of scientific programs by working directly with the Committee on Scientific Affairs on the evaluation and approval of content.
- Works with the Director, Scientific Affairs to develop specialized new content for the Annual Meeting.
- Communicates with program participants, tracks speaker acceptance and submission of appropriate information, including talk and session descriptions.
- Reviews promotional materials for the Annual Meeting pertaining to the Scientific Program.
- Maintains the speaker management system.
- Executes peer-review process and other evaluations of scientific programs under their purview.
- Assists in the development and review of the Annual Meeting schedule.
- Serves as a primary contact for scientific program participants under their purview.
- Provides logistics support including facilitating staff assignments and providing appropriate orientation, reviewing speaker benefits, following-up on speaker logistics.
- Attends and/or support ASH-sponsored meetings and events outside of normal working hours (evenings and/or weekends), including the ASH Annual Meeting.
QUALIFICATIONS, KNOWLEDGE, and SKILLS REQUIRED
- Bachelor’s degree and three years relevant experience. Degree or minor in STEM or public health preferred.
- Ability to interact and communicate effectively with staff, volunteer leadership, meeting attendees, and vendors.
- Experience in programmatic project management, excellent organizational skills, and attention to detail.
- Excellent oral and written communication skills.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Experience in handling confidential information.
- Ability to manage multiple deadlines and assignments and execute activities in fast paced environment.
- Ability to work under pressure and conduct oneself in a professional manner.
- Prior experience in a not-for-profit environment preferred.
- Prior experience with databases (SalesForce, Personify, Confex, LMS) preferred.
- Prior experience in a scientific/clinical/medical education preferred.
PHYSICAL REQUIREMENTS
- Requires ability to speak audibly and listen actively.
- Requires ability to use computers, telephones, and other office equipment.
- Requires manual labor for project management (e.g. mobility for packing and moving boxes of minimal weight, standing for material compilation, carrying packages for mass mailings).
- Requires some domestic and international air travel, may include travel to developing countries.
ASH has a hybrid work environment, with core in-office days for all ASH staff on Tuesdays, Wednesdays, and Thursdays, and telework on Mondays and Fridays for eligible positions. The Society’s headquarters is in Washington, DC, and is within walking distance of several Metro stations on the Blue/Orange/Silver and Red lines.
