VEIA is searching for a sales & office coordinator  to work in its Oceanside, California office. In this role, you will manage the inbound and outbound shipments & billing within North America, as well as communicating and ensuring PO placements and billing of international distributors. You will also be responsible for overseeing a warehouse employee on incoming & outgoing orders, returns & customer service. This position currently reports directly to the President.

VEIA Sales & Office Coordinator Duties and Responsibilities
  • Working with the warehouse staff to ensure the warehouse is running according to schedule and prioritizing orders correctly and shipping all orders within 2 business days maximum
  • Management  of orders in the order entry system and oversight of the packing slips and shipping labels for each order 
  • Management of delivery calendars across all categories
  • Management of order and fulfillment process
  • Communication with Reps on a regular basis
  • Coordination of communication and inventory reporting between internal management and factory partners for inbound orders to provide an accurate available to sell report weekly
  • Communicating with International distributors, invoicing & placing International & North America PO’s 
  • Communication with overseas factories, distributors, freight forwarding, etc
  • Receiving checks/cash into Quickbooks and Shopify and physically depositing into the bank
  • Weekly accounts receivable reminders sent for overdue accounts
  • Calculating and communicating rep commissions and reports
  • Upkeep with the billing email
  • Entering bills from vendors
  • Reconciliation of accounts between factories
  • Updating shipping calendar of all POs on Monday
Requirements and Qualifications
  • Bachelors Degree preferred but not required
  • 2+ years experience in a retail and/or warehouse focused environment
  • Proven organizational experience and attention to detail
  • Proficient in Microsoft Excel/Google Sheets, Shopify experience a plus
  • Demonstrated creative and critical thinking skills
  • Ability to work on multiple high-value projects simultaneously
  • Strong written and verbal communication skills
  • Ability to organize and manage schedules and timelines
