POSITION SUMMARY The Executive Assistant will enhance the overall People team effectiveness through the love of Christ by providing high-level information and project management, communication support, and administrative support to the Chief People Officer and her team. Manage the CPO budget, oversee daily schedules, and work with leaders to build relationships that align with CRISTA’s mission and vision. Given the nature of the area, this position requires sensitivity and discretion with confidential information. Duties will vary and require independent judgment and leadership that reflects the CPO’s style and CRISTA culture. ESSENTIAL FUNCTIONS Administrative Management: Manage executive’s daily appointment schedules. Plan and schedule meetings, business luncheons, conferences, teleconferences, and travel. Maximize executive’s time by reading, researching, collecting, analyzing, and preparing information to meet executive needs. Prioritize demands on the schedule given the stated goals and objectives. Work in collaboration with Executive Assistants and Event Coordinators to implement all-staff events. Collaborate with other leaders and executive assistants to grow and build productive professional relationships. Attend various CRISTA events as assigned and assist in preparing meetings. Maintain confidentiality and trust by keeping all information confidential. Project and Communication Management: Craft communication for internal/external committees and meetings, including executive and Board presentations. Review and manage various forms of communications including voicemail, phone calls, e-mails, mail, and visitors. Lead and assist with special projects for HR and people teams as necessary to support CPO. Assist in the administration of the Royal Brougham Foundation Scholarship process. Create processes and efficiency improvements for people team and any CRISTA-related activities. Budget and Expense Management: Manage the CPO budget and help in budget planning process each fiscal year. Process expense and credit card reports. Perform other duties as assigned. Conduct that reflects well on CRISTA Ministries and aligns with its mission, vision, Statement of Faith, and Christian Community Representative Commitment (CCC). ESSENTIAL QUALIFICATIONS CHRIST CENTERED Belief that Jesus Christ is Lord and Savior. Is a committed Christian who is dedicated to continued spiritual growth and development. Prayerfully seeks God’s will in their own lives and in their ministry at CRISTA. Engages our ministry including staff and colleagues through prayer and participation in spiritual practices. Affirms, aligns with, and supports CRISTA’s Statement of Faith and Christian Community Representative Statement (CCC). Conducts themselves in a manner which reflects well on CRISTA Ministries. Demonstrates the values of a CRISTA leader. EDUCATION Bachelor’s degree from an accredited college or university or equivalent. Relevant work experience may be substituted for education on a year-for-year basis. EXPERIENCE Three years of successful experience as a mid to senior level executive assistant or business management, or four years of administrative support experience. SOFTWARE / EQUIPMENT KNOWLEDGE Proficient computer skills, including in-depth understanding and mid to high level user skills for MS Office suite or 360. OTHER CONSIDERATIONS Excellent time management and prioritization skills. Able to meet deadlines in a fast-paced quickly changing environment. Proactive approach to problem-solving with strong decision-making skills. Professional level verbal and written communications skills. Self-directed and able to work with minimal supervision. Good judgment and discretion. PREFERRED QUALIFICATIONS Five years of successful experience as an executive assistant or other relevant administrative support experience.
