The Executive Climate Office is looking to fill one (1) Executive Assistant position to support the Climate Director and the Executive Climate Office. About the Role: This role is crucial for supporting the Climate Director and the growing Executive Climate Office. The Executive Climate Office is a dynamic, fast-paced environment with a number of programs, projects, and climate plans, most notably King County’s Strategic Climate Action Plan, that are developed and implemented. The Climate Director and Executive Climate Office collaborate and coordinate with County agencies, State and Federal agencies, community organizations, and subject matter experts locally and internationally. The ideal candidate will be a self-starter and skilled communicator, who is organized, resourceful, responsive and excels at time management, scheduling, and working with a broad range of climate team members and external partners. This position will report directly to the Climate Director and will coordinate with the Office Administrator and administrative team. About the Office: King County established the Executive Climate Office to elevate and accelerate Executive Constantine and the County’s commitment, coordination, and ability to deliver on climate action internally and in collaboration with cities and partners. Since being established in 2023, the Executive Climate Office has grown to approximately 20 staff, fellows, and interns, and has secured over $60M in state and federal grants. As part of this office, this position would be supporting a team on the forefront of the King County efforts to reduce GHG emissions, support sustainable and resilient frontline communities and ensure climate preparedness in our communities and infrastructure. Responsibilities: As lead administrative professional, design and institute administrative processes and procedures to ensure the effective running of the Executive Climate Office. Manage highly confidential and sensitive issues effectively, with discretion and integrity. Manage a dynamic and highly demanding schedule for the Climate Director. Serve as the primary point of contact for Climate Director schedule, provide the Director with background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, and interviews. Plan, develop and provide logistical support on internal/external business meetings. Manage regular senior-level management meetings – including the Executive’s Climate Cabinet – which includes setting the agenda, preparing materials, coordinating logistics, and following up on action items. Manage and track budget, invoices, and payments. Serve as liaison with internal and external stakeholders on human resources and financial policies, procedures, and functions. Provide administrative support to internal and external committees and participate in planning and organizing meetings, workshops, trainings, etc. Maintain an efficient flow of information between all levels of the organization on a wide spectrum of the organization’s plans and priorities. Provide technology, HR, contracting, and budget support to the organization as needed. Keep files and systems organized for efficiency. Provide various support functions for in-person events and meetings. Support ECO communications through copy editing of materials (website, newsletter, presentations, reports). Perform other duties as assigned. Minimum Requirements: - Able to thrive in a dynamic environment by anticipating and adjusting to change. - Working knowledge of office management theory and practices. - Proficient writer with considerable knowledge of punctuation, grammar, and sentence structure. - Knowledge of the County's budget format, preparation processes, and time frames. - Knowledge of filing systems and the skills to maintain them. - Skill in establishing and maintaining effective working relationships with co-workers, public and private sector officials, and the public.
