Position Title: Human Resources Coordinator

Department: Human Resources

Reports To: AVP of Human Resources/CHRO

Classification: Non-exempt FTE: 1.0 Date: September 2024

Essential Job Duties:

1. Coordinate the workflow processes of the department:
  • Manage the HR department tasks and workflow to ensure work is completed accurately and timely
  • Perform administrative tasks for onboarding and offboarding staff (ex. I-9s and other employment paperwork)
  • Oversee college-required training modules, and drive compliance with policies and procedures through compiling metrics, tracking, analyzing and managing employees' training and activities
  • Work with colleagues in the HR department to audit and maintain compliance in the areas of I-9s and background checks
  • Track the budget in consultation with the applicable stakeholder(s), including paying invoices, keeping track of credit card expenses, and ordering supplies
  • Be knowledgeable in the work processes for the HRIS system to be able to answer frequent questions, perform data entry and run reports in HRIS
  • Oversee ongoing retention of documents in accordance with rules and regulations
  • Arrange meetings; manage calendars and schedule appointments
  • Attend one-on-one and team meetings
2. In partnership with HR Office Coordinator:
  • Provide general office support for HR; greet and assist faculty, staff, students and visitors; answer and screen office phone calls and handle in-person inquiries when needed
  • Ensure that the front desk is staffed to greet and assist faculty, staff, students and visitors; answer and screen office phone calls and handle in-person inquiries
  • Provide work direction to student workers who provide operational support to the department
  • Provide support and back up to HR Office Coordinator as needed
3. Provide administrative support to and oversee duties as assigned for benefits and compensation:
  • Benefits report reconciliations and administrative duties
  • Open enrollment activities coordination
  • Regular review of audits and management of internal pay changes

4. Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community

5. Complete and meet deadlines for required training and performance management cycle

6. Perform other duties as assigned

Work Schedule:

Term: Year-Round

Shift: Monday - Friday, 8:00 a.m.- 5:00 p.m.

Required Qualifications:

Education: High school diploma or equivalent

Experience: 3+ years of administrative experience in an office environment; experience working with spreadsheet and database systems; experience managing high volumes of data

Preferred Qualifications:

Education: Bachelor's degree

Experience: 5+ years of administrative experience; experience working in a human resources environment and/or higher education; advanced technical skills; experience working with Human Resources Information System

Prerequisites:

Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
