Friends of Acadia seeks a Development Coordinator to work with the development staff in an array of administrative duties, including gift processing, data entry and data maintenance, event assistance, and donor, member, and volunteer interactions, often serving as the first and primary phone and in-person contact for visitors.

Primary Responsibilities:

  • Process charitable gifts and acknowledgments on a daily basis
  • Maintain and improve the overall integrity of the database - update records, merge duplicates, enter new information provided by donors, prospects, or staff
  • Assist with administrative tasks such as collating, printing, scanning, copying, filing (digital and physical), stuffing, and mailing letters, postcards, and invitations
  • Donor stewardship, such as making thank-you calls and writing notes
  • Schedule meetings, maintain agendas, and write minutes for meetings, as requested
  • Work collaboratively with Development and Communications/Marketing teams on campaigns and projects, as needed
  • Coordinate and oversee the work of office volunteers
  • Assist with event management including registration, nametags, mailings, and recording attendance
  • Assist with membership table program, as needed
  • Work with the Finance team to reconcile gifts between development and finance systems
  • Provide assistance with the annual audit, as requested.
  • Be part of organization-wide efforts and initiatives
  • Work as a team member on other duties as assigned
The above responsibilities will require a motivated individual to bring a combination of the following:
  • Data-entry/Database experience (preferably Blackbaud Raiser's Edge NXT, but will train)
  • MS Office Suite/MS365 (Excel, Word-mail merging skills preferable, Outlook, Teams, etc.)
  • Exceptional attention to detail and accuracy
  • Strong organizational and administrative/office skills
  • Strong time management skills, and ability to set priorities and manage multiple projects
  • Ability to work collaboratively with others, as well as work independently on focused projects
  • Excellent research and problem-solving skills, and ability to take initiative
  • Excellent oral and written communication skills, with both internal and external audiences
  • Outstanding customer service skills and ability to work well under pressure
  • Sound judgment and ability to handle confidential information professionally
  • Associate's degree or equivalent work experience preferred
