**General Description**

**Essential Job Duties**
- Provides executive administrative support of the daily business activities of the CAO.
- Coordinates CAO’s schedule on various conferences, meeting schedules and events for the year.
- Coordinates logistics, arranges and prepares materials, documents (including conference notebooks) and all associated materials for CAO and other meetings as directed.
- Provides a broad variety of administrative assistance to include Human Resources, Operations, and Training and Development.
- Prepares, reviews and finalizes meeting agendas for distribution to appropriate staff.
- Prioritizes duties as necessary.
- Manages special projects and oversees the preparation of reports, manuals, and publications.
- Manages and enters approved division requisitions.
- Schedules travel for Human Resources, Operations, and Training and Development.
- Prepares travel/reimbursements.
- Employee time entry into CAPPS.
- Assist with budget preparation.
- Performs related work as assigned.

**Qualifications**

**Minimum Qualifications**
- Graduation from an accredited four-year college or university or community college/technical institute.
- Experience and education may substitute for each other on a year-for-year basis.
- Five years of experience as an Executive Assistant or in an administrative high-profile environment.
- Experience may have occurred concurrently.
- Valid Texas Drivers License and good driving record.

**Preferred Qualifications**
- Ten years of experience as an Executive Assistant in a state, federal or similar governmental entity with regulatory responsibilities.
- Five years of experience including executive administrative support of elected officials and/or agency executives.
- Experience using State of Texas CAPPS
- Experience working for State of Texas
- Five years of experience with a state or federal agency.

**Knowledge, Skills, and Abilities**
- Knowledge of accepted business practices and procedures.
- Knowledge of applicable rules, regulations and policies, including but not limited to Texas Open Meetings Act.
- Expertise and demonstrated success in the duties, responsibilities, and functions of being a C-level Executive Assistant, preferably in state or federal government, or regulatory authority.
- Advanced Microsoft Office skills in Outlook, PowerPoint, Word and Excel.
- Skill in prioritizing wide range of duties and adapting appropriately as priorities change.
- Skill in analyzing and organizing information and solving problems.
- Skill in official business correspondence and effective communications, both verbally and in writing.
- Skill in instructing and supervising the work of others.
- Skill in use and maintenance of standard office equipment.
- Skill and ability in coordinating relief schedule.
- Ability to maintain confidentiality and be discrete.
- Ability to work on tasks requiring meticulous attention to detail.
- Ability to handle high-level administrative issues and perform high-level administrative tasks.
- Ability to respond to rapidly changing pace and workload and cope with deadline pressures.
- Must be willing to work 8:00 AM - 5:00 PM Monday through Friday.

**Work Hours and Telework**:Standard office hours for Commission employees are 8:00 a.m. to 5:00 p.m., Monday through Friday. Our agency offers alternate schedules for employees, as long as it does not adversely affect operations and service levels, and standard hours of operation are maintained. The Commission may also offer telework based on the agency’s approved Telework Plan. Alternate work schedules and telework may be discussed with the hiring manager during the interview process.
