We are seeking a proactive and highly organized Executive Assistant to provide administrative support to our executive team. The Executive Assistant will play a key role in managing schedules, coordinating meetings, handling correspondence, and assisting with various administrative tasks. Roles and Responsibilities:

  1. Calendar Management:

    • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
    • Coordinate and prioritize conflicting schedules and handle last-minute changes effectively.
  2. Communication Management:

    • Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and team members.
    • Screen and respond to incoming calls, emails, and correspondence on behalf of executives.
  3. Meeting Coordination:

    • Arrange and coordinate meetings, conferences, and other events.
    • Prepare meeting agendas, take minutes, and distribute materials as needed.
  4. Travel Arrangements:

    • Coordinate domestic and international travel logistics, including flights, accommodations, and visas.
    • Prepare travel itineraries and ensure executives are informed of travel plans and changes.
  5. Document Preparation and Management:

    • Draft and edit correspondence, presentations, reports, and other documents as requested.
    • Maintain confidential files and records in accordance with company policies.

    • Assist with special projects and initiatives as assigned by executives.
    • Conduct research, compile data, and prepare reports to support decision-making.
  7. Expense Management:

Skills and Qualifications:

  • Bachelor's degree preferred, or equivalent work experience.
  • X+ years of experience as an executive assistant or similar role, supporting senior management or executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
  • Excellent verbal and written communication skills, with the ability to interact professionally with stakeholders at all levels.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
  • Discretion and confidentiality in handling sensitive information and communication.
  • Ability to work independently with minimal supervision and make decisions when necessary.
  • Strong problem-solving skills and resourcefulness in finding solutions.
