This is a vital role that interacts directly with Taproot Therapy clients ensuring every part of the client experience is smooth and validating. This position is part-time 20-25 hours per week. The schedule is Monday through Friday 12:30pm-6:00pm, with some flexibility to adjust this if needed around college class schedules. We are looking for someone ready to engage in warm company culture, bring a fun and positive attitude to our team, and create an excellent client experience from start to finish.

Essential job duties include:

- Answer incoming phone calls related to hours of operation, location, session changes, etc. and transfer to appropriate department.
- Manage all initial inquiries from prospective clients to add to waitlist and provide feedback on the onboarding process.
- Manage waitlist clients to ensure regular communication on wait time status.
- Greet incoming clients at front desk and notify therapist of their arrival.
- Oversee and handle any client issues that may occur in the lobby setting.
- Maintain welcoming office atmosphere for clients and staff by managing music, and keeping space clean and organized. Set up decorations for various holidays when requested.
- Maintain coffee and water station for clients.
- Handle basic billing and paperwork questions.
- Provide support to Lead Billing Specialist and Client Care Manager.
- Provide additional administrative support related to scanning, copying, filing, chart audits, etc. as needed.
- Monitoring and ordering office supplies as needed.
- Excellent people skills
- Minimum 1+ year admin experience
- Be dependable with consistent attendance and on time arrival
- High School Diploma/GED
- Ability to use and troubleshoot technology (computer, printer, scanner)
- Ability to multi-task and prioritize incoming requests
- Detail-oriented and ability to self-audit
- Ability to work with clients in distress and who may share parts of their trauma story when calling in.
- BONUS for individuals with experience in the mental health field

**Job Type**: Part-time

Pay: From $17.00 per hour

Expected hours: 20 - 25 per week
