This position will have limited flexibility to work remotely, and will be required to work out of our global HQ in Itasca, IL.

**Duties and responsibilities**:

- Type reports, presentations, memos, letters, and other documents.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Perform general office duties such as maintaining records management database systems and processing invoices and purchase orders.
- File and retrieve corporate documents, records, and reports.
- Book international travel and accommodation, and submit all expense reports for the executive team.
- Manage multiple calendars, meetings, and events. Coordinate with everyone’s calendars, ensure all invited accept, or if a meeting is to be canceled, is responsible for ensuring rescheduling or another executive leads the meeting / attends event. Make meeting arrangements including reserving meeting/hotel rooms, setting up meals, etc.
- Assist the EA to the CEO and other ELT members, as needed.
- Assist with Marketing department, as needed.

**Qualifications**:

- 3+ years of experience supporting C-Suite executives.
- Clear, concise, and professional communication skills, written and oral.
- Very well organized (schedules, presentations, explanations, appointments, etc.)
- Proficiency in the MS Office suite of software and ability to quickly create PowerPoint slide content as needed.
- Ability to multi-task and manage time effectively.
- Strong interpersonal skills and cross-cultural skills.
- Sensitivity to confidential matters.
- Concur experience.
- Experience with Visas is a plus.
- Notary Public is a plus.
