Position Overview
The Itasca Fire Protection District is in search of a proactive and meticulous professional to fill the role of Executive Administrative Officer. This pivotal position reports directly to the Fire Chief and is responsible for overseeing the operations of the business office.
Key Responsibilities
The Executive Administrative Officer will serve as the primary bookkeeper and records custodian for the fire district. Key duties include:
- Managing general data entry and ledger maintenance.
- Overseeing accounts receivable and payable.
- Handling bank account management, including deposits and budget postings.
- Preparing payroll and managing payroll taxes.
- Maintaining comprehensive records, including personnel files and legal documents.
- Facilitating postal duties and managing office supplies and equipment.
- Assisting the public in person and via telephone.
- Coordinating schedules for the Fire Chief and preparing for meetings.
- Processing invoices, purchase orders, and requisitions.
- Acting as the coordinator for employee benefits, including insurance and workers' compensation.
- Serving as the FOIA officer.
Qualifications
Applicants should possess a high school diploma, supplemented by technical training and experience. An associate or bachelor's degree is advantageous. Candidates must have a minimum of five to seven years of progressively responsible experience in an office environment, with specialized skills in payroll, budgeting, and data management.
Skills Required
Successful candidates will demonstrate:
- Strong oral and written communication skills.
- Proficiency in accounting practices (A/P, A/R, G/L).
- Expertise in Microsoft Office Suite, including Word, Excel, PowerPoint, and Publisher, as well as QuickBooks.
