Join Our Team as an Operations Support Specialist

As an Operations Support Specialist, you'll work closely with our Field Services Support Manager and other leaders, gaining hands-on experience in a dynamic environment. Duties and Responsibilities:

  • Prepare and provide required reporting to all levels of management.
  • Review files, records, and other documents to obtain information to respond to requests.
  • Order materials, equipment, and supplies.
  • Assist with client deliverables.
  • Perform a full range of advanced operational functions, often of a confidential or sensitive nature.
  • Create forms and templates and prepare and format documents using multiple software programs.
  • Manage special projects to support functional area's strategic goals and objectives.
  • Recommend process changes for greater work area efficiency and implement approved process and procedural changes as directed by manager.
  • Schedule and coordinate meeting facilities.
  • Create call center queues and lines in Ring Central to service certain clients.
  • Respond to internal and external customer requests for information and communicate with senior management as needed.
  • Maintain awareness of subject matter experts within the work area and the organization for effective referral.
  • Monitor reports and assist with all Accounts Payable functions.
  • Work with managers to facilitate equipment returns and paycheck deductions for unreturned equipment as a result of employee terminations.
  • Engage diverse suppliers for equipment orders and continue to engage new categories of diverse suppliers.
  • Complete expense reports.
  • Coordinate equipment repairs/recalibrations.
  • Work with Accounting to approve invoices and provide budget line items for charges.
  • Assist as needed with daily operations of each line of business.
  • Serve as a back-up in manager's and other support staff absence.
  • Additional duties as requested.
Knowledge, Skills, and Abilities:
  • Proficient in all programs within Microsoft office, especially Excel, Word and PowerPoint.
  • Excellent written and oral communication, and interpersonal skills.
  • Excellent project coordination skills.
  • Attention to detail and high level of accuracy.
  • Ability to solve practical problems and deal with a variety of variables on a daily basis.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
  • Ability to rapidly establish creditability and relationships with a broad range of individuals.
  • Able to change priorities quickly and multi-task.
Education and Experience
  • Associates degree in a business-related field plus two (2) years advanced support/administrative experience OR an equivalent combination of education and experience.
Physical Demands:
  • Duties are performed in an office environment.
  • Must be able to remain in a stationary position at least 50% of the time.
  • Consistently operate a computer and other office productivity machinery.
  • The person in this position frequently communicates with co-workers and clients. Must be able to exchange accurate information.
