Position Overview: Operations Support Specialist
Are you seeking an entry-level position to kickstart your career in operations management? This role offers an opportunity to make a significant impact across various divisions within our organization. As an Operations Support Specialist, you will collaborate closely with our Field Services Support Manager and other leaders, gaining practical experience in a vibrant environment. Your responsibilities will include preparing essential reports and managing special projects that align with our strategic objectives, thereby playing a crucial role in enhancing efficiency and supporting our operational success.
Key Responsibilities:
- Generate and deliver necessary reports to all management levels.
- Examine files, records, and documents to gather information for inquiries.
- Procure materials, equipment, and supplies.
- Assist in fulfilling client deliverables.
- Execute a comprehensive range of advanced operational tasks, often involving confidential or sensitive information.
- Design forms and templates, and prepare documents using various software applications.
- Oversee special projects that support the strategic goals of the functional area.
- Propose process improvements for enhanced efficiency and implement approved changes as directed by management.
- Organize and coordinate meeting facilities.
- Create call center queues and lines in Ring Central for specific clients.
- Respond to requests for information from internal and external customers, communicating with senior management as necessary.
- Maintain awareness of subject matter experts within the organization for effective referrals.
- Monitor reports and assist with all Accounts Payable functions.
- Collaborate with managers to facilitate equipment returns and manage paycheck deductions for unreturned equipment due to employee terminations.
- Engage diverse suppliers for equipment orders and continuously seek new categories of diverse suppliers.
- Complete expense reports accurately.
- Coordinate equipment repairs and recalibrations.
- Work with the Accounting department to approve invoices and provide budget line items for charges.
- Assist with daily operations across each line of business as needed.
- Serve as a backup during the absence of managers and other support staff.
- Perform additional duties as assigned.
- Proficient in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
- Exceptional written and verbal communication skills, along with strong interpersonal abilities.
- Excellent project coordination capabilities.
- Meticulous attention to detail and a high level of accuracy.
- Adept at solving practical problems and managing various variables daily.
- Ability to interpret diverse instructions presented in written, oral, diagram, or schedule formats.
- Skilled at quickly establishing credibility and relationships with a wide range of individuals.
- Capable of swiftly changing priorities and multitasking effectively.
- Associate's degree in a business-related field, coupled with two (2) years of advanced support or administrative experience, or an equivalent combination of education and experience.
- Work is performed in an office environment.
- Must be able to remain stationary for at least 50% of the time.
- Consistently operate a computer and other office productivity equipment.
- Frequent communication with co-workers and clients is required, necessitating the ability to exchange accurate information.
