Position Overview: Operations Support Specialist
This entry-level role offers a unique opportunity to initiate your career in operations management. As an Operations Support Specialist, you will collaborate closely with the Field Services Support Manager and other key leaders, acquiring practical experience in a vibrant environment. Your responsibilities will include generating essential reports and managing special projects that align with our strategic objectives, playing a crucial role in enhancing efficiency and supporting our operational achievements.

Key Responsibilities:

  • Generate and distribute necessary reports to management at all levels.
  • Examine files, records, and other documents to gather information for inquiries.
  • Procure materials, equipment, and supplies as needed.
  • Assist in delivering client requirements effectively.
  • Conduct a variety of advanced operational tasks, often involving confidential or sensitive information.
  • Design forms and templates and prepare documents using various software applications.
  • Oversee special projects that support the strategic goals of the functional area.
  • Propose process improvements for enhanced efficiency and implement approved changes as directed.
  • Organize and coordinate meeting spaces.
  • Create call center queues and lines in Ring Central for specific clients.
  • Address internal and external customer inquiries and communicate with senior management as necessary.
  • Maintain awareness of subject matter experts within the organization for effective referrals.
  • Monitor reports and assist with all Accounts Payable functions.
  • Collaborate with managers to facilitate equipment returns and manage paycheck deductions for unreturned items.
  • Engage diverse suppliers for equipment orders and continue to seek new categories of diverse suppliers.
  • Complete expense reports accurately.
  • Coordinate equipment repairs and recalibrations.
  • Work with the Accounting department to approve invoices and provide budget line items for expenses.
  • Assist with daily operations across various business lines as needed.
  • Serve as a backup during the absence of managers and other support staff.
  • Perform additional duties as assigned.
Required Knowledge, Skills, and Abilities:
  • Proficient in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Strong written and verbal communication skills, along with excellent interpersonal abilities.
  • Exceptional project coordination capabilities.
  • Meticulous attention to detail and a high degree of accuracy.
  • Adept at solving practical problems and managing various variables daily.
  • Ability to interpret diverse instructions presented in written, oral, diagram, or schedule formats.
  • Quickly establish credibility and relationships with a wide range of individuals.
  • Capable of adjusting priorities swiftly and managing multiple tasks simultaneously.
Education and Experience:
  • Associate's degree in a business-related field plus two (2) years of advanced support or administrative experience, or an equivalent combination of education and experience.
Physical Requirements:
  • Work is performed in an office setting.
  • Must be able to remain in a stationary position for at least 50% of the time.
  • Regularly operate a computer and other office productivity equipment.
  • Frequent communication with co-workers and clients is required, necessitating the ability to exchange accurate information.
