As part of the Continuing Life (“CL ®”) team, the Senior AP Specialist, performs accounts payable processing duties that are performed under the direction of the Accounts Payable Manager .

This is a full time onsite position in Carlsbad, CA

PRINCIPLE DUTIES:

  • Processes invoices and payable including data entry and profit center coding
  • Processes employee expense reports for reimbursement.
  • Responds to payment inquiries by vendors in a timely manner utilizing customer focused techniques and clear communication.
  • Review and analyze Accounts Payable aging reports to ensure invoices are paid timely.
  • Process weekly check, EFT and Virtual Credit Card payments
  • Prepare weekly and monthly email communications to managers and directors regarding invoice approval status.
  • Prepare and track monthly billback invoices to ensure all invoices are issued and paid.
  • Prepare weekly and month end deposits for Continuing Life.
  • Research issues and potential errors by investigating relevant processes and systems utilizing problem solving skills.
  • Collaborate with shared services team members to share workload in order to ensure achievement of team deadlines and deliverables.
  • Maintain routing rules and critical vendor tracking.
  • Respond to all vendor inquiries.
  • Reconcile vendor statements, research and correct discrepancies.
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and generally accepted accounting practices.
  • Assist with other projects as needed.
  • Performs specific work duties and responsibilities as assigned by the Manager.
  • Assist with preparation of 1099s.

QUALIFICATIONS:

  • Minimum 5+ years’ experience in accounts payable.
  • High school diploma required, college course in accounting preferred.
  • Must have a strong work ethic.
  • Must be well organized, self-starter and possess strong time management skills.
  • Strong analytical skills, detail oriented, professional attitude and reliable.
  • Experience in a paperless accounts payable system is a plus.
  • Proficient in Excel and Word.
  • Strong verbal and written communication skills.
  • Strong skills in, problem-solving, accounting principles, documentation, research and resolution, data analysis and multi-tasking.
  • Communicate effectively both verbally and written
  • Ability to interact with internal and external customers, employees and vendors, in a professional manner.
  • Ability to work independently and with a team in a fast paced and high volume environment with emphasis on accuracy and timeliness.
