We are seeking an organized and detail-oriented Administrative Coordinator to perform administrative duties and support our business operations. The successful candidate will be responsible for providing administrative support to management, filing and tracking contracts, onboarding new clients, and other duties as determined by management.

PRINCIPAL RESPONSIBILITIES:

  • Must maintain a neat, well-organized, visually appealing office
  • Must know which staff are in which department and who is in charge of what function.
  • May perform special projects that pertain to departmental and/or company goals as directed by supervisors.
  • Complete assignments that generally involve work of a confidential nature and require knowledge of the practices, policies, and procedures of the company, group, and/or department
  • File, track, and maintain contracts and accurate records
  • Coordinate with sales and other departments to ensure client needs are met and that new clients are properly onboarded
  • Other duties as assigned.

ADDITIONAL FUNCTIONS:

Cross-train and provide support for the Receptionist/Administrative Assistant, duties may include but are not limited to:

  • Answer overflow calls that come through to the mainline of the company, and ensure that all the calls are routed to the appropriate department or person.
  • Maintain accurate vehicle records
  • Arranges and make notifications of appointments for vehicle maintenance
  • Great and check-in visitors/clients
  • Sort and route incoming mail
  • Meter and deliver outgoing mail to the post office

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent is required
  • Proven experience as an Administrative Coordinator or similar role
  • Strong organizational and time management skills
  • Excellent communication and interpersonal skills
  • Attention to detail and accuracy
  • Proficiency in Microsoft Office Suite and other relevant software
  • Familiarity with contract management and sales processes
  • Ability to work independently and as part of a team

PREFERRED QUALIFICATIONS:

  • Associate's degree preferred but not required
