Job Overview

We are looking for a meticulous and organized Office Operations Coordinator to provide essential administrative support and enhance our business functions. The ideal candidate will be tasked with assisting management, overseeing contract documentation, facilitating client onboarding, and executing various responsibilities as assigned by supervisors.

KEY RESPONSIBILITIES:

  • Ensure the office environment is tidy, well-organized, and visually appealing.
  • Maintain knowledge of departmental staff and their respective roles within the organization.
  • Engage in special projects that align with departmental and company objectives as directed.
  • Handle assignments that require confidentiality and a solid understanding of company policies and procedures.
  • Manage the filing, tracking, and maintenance of contracts and essential records.
  • Collaborate with sales and other departments to fulfill client requirements and ensure effective onboarding of new clients.
  • Perform additional tasks as needed.

ADDITIONAL DUTIES:

Provide cross-training and support for the Receptionist/Administrative Assistant, which may include:

  • Managing overflow calls to the main company line and directing them to the appropriate personnel.
  • Keeping accurate records of company vehicles.
  • Coordinating and notifying appointments for vehicle servicing.
  • Welcoming and checking in visitors and clients.
  • Sorting and distributing incoming mail.
  • Preparing and delivering outgoing mail to the postal service.

MINIMUM REQUIREMENTS:

  • A high school diploma or equivalent is mandatory.
  • Demonstrated experience as an Office Operations Coordinator or in a comparable role.
  • Exceptional organizational and time management capabilities.
  • Strong communication and interpersonal skills.
  • Meticulous attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite and relevant software applications.
  • Familiarity with contract management and sales operations.
  • Ability to work autonomously as well as collaboratively within a team.

PREFERRED QUALIFICATIONS:

  • An Associate's degree is preferred but not essential.
