SUMMARY: Provides administrative and support services to the assigned Partners of the Tax Department as well as assisting the Tax Coordinator with tracking tax returns through the preparation process and other specific functions related to the Tax Department by performing the following duties.

DUTIES AND RESPONSIBILITIES:
  • Provides administrative support (calendar, email, mail, phone calls, file maintenance, tracking return due dates and other correspondence/letters) for assigned tax partners as requested.
  • Provides administrative support to the Department such as making travel arrangements, coordinating meetings as well as other ad hoc administrative tasks.
  • Assists the Tax Coordinator by helping manage the assignment and routing of tax returns through Workstream software, setting up new clients in tax preparation software, processing tax organizers sent to clients via mail and online portals, and performing other tasks.
  • Oversees and tracks tax return preparation processes, ensuring timely and accurate completion.
  • Oversees preparation of annual engagement letters and tracking of status throughout the year.
  • Liaison between firm and client to gather necessary information, provide status updates, and ensure the tax project progresses smoothly.
  • Organizes client tax workpapers for staff, ensuring all documents are complete, accurate, and readily accessible in a systematic filing system.
  • Assists department with communication to clients and tax jurisdictions regarding tax notices and inquiries.
  • Works with Partners/Managers to increase efficiencies of project completion and monitor project movement from beginning to end.
  • Aids in monthly client billing and preparation of invoices.
  • Provides some accounting services to clients by way of basic bookkeeping functions.
  • Coordinates Tax Department continuing education: course registration and logistics, tracking employee CPE hours and reporting professional license renewals.
  • Seasonal overtime required.

SUPERVISORY RESPONSIBILITIES:

This job has no supervisory responsibilities.

QUALIFICATIONS:

Education and/or Experience:

High school diploma required with five years of experience performing administrative/accounting duties. College degree preferred.

Computer Skills:

Proficient in Microsoft Word, Excel, and Adobe PDF, with a strong emphasis on digital processes and minimal reliance on paper. Experienced in handling large databases and Excel schedules, including formatting and filtering. Ability to navigate and perform research on the Internet. Ability to type at least 40 words per minute.

Physical Demands/Work Environment:

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is frequently required to walk or use hands to finger, handle, or feel. The employee is occasionally required to stand, reach with hands and arms, and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The noise level in the work environment is usually quiet.
