We are looking for a skilled and proactive Executive Assistant who thrives in a fast-paced environment and possesses exceptional organizational and communication skills. As the Executive Assistant, you will be responsible for providing comprehensive administrative support to our President, enabling them to focus on their core responsibilities and drive the company's success. You will play a crucial role in ensuring efficient operations, maintaining confidentiality, and managing multiple priorities with grace and professionalism.

Requirements:

  • Scheduling appointments, coordinating travel arrangements, managing correspondence, and preparing meeting materials, demonstrating your self-awareness in effectively managing the President’s calendar and tasks.
  • Recording meeting minutes and following up on action items, showcasing your accountability in ensuring that important decisions and tasks are documented and completed.
  • Maintaining records and ensuring compliance with company agreements and transactions, displaying your attention to detail in record-keeping and compliance processes.
  • Conducting research, assembling data, and preparing reports as needed, utilizing your mastery of information management to provide valuable insights and support decision-making.
  • Overseeing daily office operations and assisting with project management, where your self-awareness, accountability, and tenacity will contribute to the efficient functioning of the office and successful completion of projects.
  • Coordinating internal and external meetings, events, including venue arrangements, logistics management, and preparing relevant documentation, demonstrating respect for participants' time and needs.
  • Handling sensitive and complex issues in a professional, discreet, and confidential manner, showcasing respect for confidentiality and the trust placed in you.
  • May interview, hire and train junior administrative staff in the department.
  • Working in compliance with QuinStar Quality Management System.
  • Performing other duties as assigned, embracing tenacity and adaptability in fulfilling additional responsibilities as needed.

Qualifications & Skills:

  • Must meet Export Control compliance requirements, therefore a “US Person” as defined by 22 C.F.R. § 120.15 is required. "US Person" includes US Citizen, lawful permanent resident, refugee, or asylee.
  • Bachelor's degree, or equivalent work experience required.
  • Proven experience in information and communication management.
  • Excellent in multi-tasking and seamlessly transition between priorities.
  • Excellent proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Proficient in business data analytics.
  • Outstanding organizational and time management skills, demonstrating your ability to prioritize tasks effectively and achieve results.
  • Excellent communication and interpersonal skills, reflecting respect in your interactions with colleagues, clients, and stakeholders.
  • Able to function well in a high-paced and at times stressful environment.

Physical Requirements:
