Airvac is the global leader in the Vacuum Technology System industry. The primary function of our Human Resources Coordinator is to provide administrative support to the HR department and assisting in the implementation of HR policies and procedures. They also provide administrative and secretarial support to Aqseptence Group and Airvac Leaders under the direction of the CFO. This role involves coordinating various HR activities, maintaining employee records, and facilitating communication between employees and HR. Our Human Resources Coordinator travels up to 10% of the time.

Duties & Responsibilities

  • Performs recruiting including posting job openings, reviewing resumes, conducting phone interviews, scheduling in-person interviews, and making hiring recommendations.
  • Performs onboarding including the preparation of welcome packages & orientation materials, paperwork, technology setup, introduction to facility and team, setting performance expectations, conducting orientation sessions, etc.
  • Performs offboarding including paperwork, exit interviews, return of company items, termination of benefits, preparation of reopening position, etc.
  • Reviews and approves payroll for corporate HR team.
  • Assists in the development and implementation of HR policies, procedures, and employee engagement programs.
  • Coordinates employee training and development sessions and workshops for employees.
  • Acts as a point of contact for employee inquiries and concerns.
  • Collaborates with management to address and resolve employee relation issues.
  • Collaborates with various departments to develop presentations and announcements for programs, policies, etc.
  • Supports the administration of employee benefits programs, including health insurance, retirement plans, and other employee perks in collaboration with the corporate HR team.
  • Prepares and distributes HR-related communications and announcements via email or presentation.
  • Maintains accurate and up-to-date employee records, including personal information, trainings, attendance records, and performance evaluations, ensuring compliance with labor laws.
  • Supports Management in strategic and operational tasks.
  • Processes information, prepares decision documents, and provides recommendations to Management.
  • Prepares and distributes communications and announcements.
  • Plans and coordinates internal and external trainings and meetings, including hosting customers and vendors.
  • Develops and handles various projects, and supports global Vacuum Technology Systems (VTS) projects.
  • Supports HSEQ, ISO, Culture, and Continuous Improvement Committees as needed.
  • Provides switchboard duties including but not limited to greeting and accommodating visitors and handling calls.
  • Supports with tasks such as but not limited to procurement and distribution of office supplies, retrieval, distribution, and shipment of mail and packages, etc.
  • Maintains a general understanding of the ISO 9001:2015 quality management system and quality objectives.
  • Performs various other duties as assigned by Supervisor/Manager.

Required Skills

  • Bachelor’s Degree in Business Administration, Human Resources, or Business Law.
  • 1+ years’ experience in Human Resources.
  • Excellent verbal and written communication skills.
  • Excellent time management and organizational skills with willingness to adapt to changing priorities and handle multiple tasks simultaneously.
  • Ability to work as a team in a collaborative environment as well as individually.
  • Software proficiency to include Windows and Microsoft Office. Sharepoint, SAP, and ADP experience preferred.
