Project Coordinator and Administrative Support - Hybrid (must live in the Greater Indianapolis area since onsite is required also)

Are you proficient in Microsoft Office or similar software and detail-oriented professional with a knack for orchestrating project timelines and ensuring seamless execution? Our client is seeking an Administrative Assistant/Project Coordinator to join their dynamic team and contribute to the success of our automation projects.

This position is onsite and remote, fully onsite initially to learn and work directly with the teams. Must be able to commute to the office in Indianapolis, Indiana. This is a full-time position of 30-40 hours a week.

Role Overview:

Within this role, you will be critical in supporting project managers for coordinating and scheduling tasks, resources, and deliverables across a diverse range of industrial automation projects. Your expertise in project planning and organizational skills will be pivotal in ensuring projects are completed on time and within budget.

Responsibilities:

Collaborate with project managers to develop and maintain project schedules, utilizing tools such as Microsoft Project, IFS or Smartsheet, ensuring alignment with project objectives and milestones. Strong knowledge of Microsoft Office, especially in Excel. Familiarity with Microsoft Project.

Assist in resource allocation and management, coordinating with internal teams and external vendors to ensure the availability of resources required for project execution. Strong knowledge of Microsoft Teams to capture meeting notes, schedule and coordinate meetings, messaging and sending documents.

Monitor project progress and identify potential risks or delays, proactively communicating with stakeholders and implementing mitigation strategies to keep projects on track. Proactive communication is going to be key through email and Microsoft Teams.

Maintain accurate project documentation, including schedules, progress reports, meeting minutes, and action items, ensuring all project stakeholders have access to up-to-date information.

Provide administrative support to project managers, including calendar management, meeting coordination, and travel arrangements, enabling efficient project management operations.

Requirements:

Organizational Expertise: Demonstrated experience in project scheduling and coordination, preferably in an engineering or industrial environment.

Tech Savvy: Proficiency in project management software such as Microsoft Project, or similar tools, along with skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Business Systems (IFS, Oracle or SAP).

Detail-Oriented: Strong attention to detail with the ability to prioritize tasks, manage multiple deadlines, and adapt to changing project requirements.

Effective Communicator: Excellent verbal and written communication skills, with the ability to collaborate effectively with cross-functional teams and communicate project status updates clearly and concisely.

Project scheduling certification, project management certification or related certifications.
