SALES ACCOUNT MANAGER
The Senior Billing Administrator fosters client satisfaction in all aspects of the billing function by preparing and processing Service Technician payroll, customer billings, coaching, mentoring, providing training to other billing administrators, updating process documents, and ensuring accuracy, efficiency, and timely resolution of more complex billing escalations and issues.

Principal Duties and Accountabilities:
  • Processes invoices utilizing accounting system data entry, to maintain billing efficiency.
  • Establishes new work orders and closes completed work orders in the accounting system as necessary.
  • Regularly communicates or directs inquiries to Service Technicians, Project Managers, vendors, and/or clients to ensure accurate payroll and billing processing.
  • Functions as a Subject Matter Expert (SME) who can be relied upon for creating/updating billing related process documents, and training documents.
  • Mentors and coaches billing administrators and ensure team members are well-trained and equipped to handle their responsibilities effectively.
  • Coordinates with other departments to ensure that accounts are serviced in a timely manner and shares insights to address interdepartmental concerns.
  • Generates and analyzes billing reports to identify errors and/or discrepancies in procedures and presents findings to management, offering recommendations for improvement and revenue optimization.
  • Addresses and resolves complex billing issues, discrepancies, or disputes. Investigates root causes, collaborates with internal teams or external parties, and proposes effective solutions while considering the impact on customer satisfaction and financial performance.
  • Identifies opportunities to streamline and improve billing processes.
  • Shares knowledge and best practices with the team to enhance their skills and foster a culture of continuous learning.
  • Works closely with CSST Management to meet goals, review billing exceptions, and take appropriate actions.
Education:
  • High School Diploma or equivalent required.
  • Associates and/or bachelor’s degree is preferred.

Experience:
  • Minimum 4 years of problem-solving, issue resolution or other relevant experience including data entry operations, billing, accounting administration, etc.
  • In-depth knowledge and expertise in mechanical contracting and service billing processes, including familiarity with industry-specific terminology, regulations, and best practices.
  • Strong knowledge of Microsoft Office (Word, Excel, Outlook, etc.);
  • Advanced knowledge of Microsoft Excel - pivot tables, VLOOKUP, macros, etc.,
  • Comprehensive understanding of applicable industry regulations, such as tax requirements, billing standards, compliance guidelines, and data privacy laws, to ensure accurate and compliant billing operations.
  • Thorough knowledge of commercial HVAC systems, components, and services to accurately interpret and process billing information related to HVAC services.
  • Proficiency in analyzing billing data, identifying trends, conducting financial analysis, and generating reports to evaluate billing performance and inform decision-making.
  • Previous experience training and/or mentoring others preferred.
 
Knowledge, skills, and abilities:
  • Meticulous attention to detail to ensure accurate data entry, verification, and reconciliation, and to identify and resolve discrepancies in billing records.
  • Strong analytical and problem-solving skills to identify complex billing issues, conduct root cause analysis, and develop effective solutions while considering business objectives and achieving customer satisfaction.
  • Excellent written and verbal communication skills to effectively communicate billing information, policies, and procedures to internal teams, customers, and vendors, as well as to address inquiries, concerns, and conflicts in a professional and timely manner.
  • Exceptional organizational skills to manage multiple billing tasks, prioritize workloads, meet deadlines, and maintain accurate billing records and documentation.
  • Working knowledge of computer operations and experience with accounting systems
  • Ability to think strategically and contribute to the development and implementation of strategic initiatives to improve billing processes, enhance efficiency, and drive continuous improvement.
  • Strong interpersonal skills to build and maintain positive relationships with internal teams, external customers, and vendors, to promote collaboration, resolve issues, and foster customer satisfaction and retention.
  • Ability to adapt to changing priorities and excel in a fast-paced work environment that includes frequent interruptions.
  • High ethical standards and the ability to handle sensitive financial information with integrity, maintaining confidentiality and data security.

  • Ability to operate office equipment, such as computers, printers, scanners, and telephones is essential.
  • While the role is primarily sedentary, occasional mobility within the office or to other departments for collaboration purposes may be required.
  • Ability to work in high-stress environments, with tight deadlines, and complex tasks.
  • Possess strong stress management skills and ability to stay composed and focused when faced with high workloads, urgent requests, or challenging billing issues.
  • Ability to allocate time appropriately and meet deadlines without compromising accuracy.

Benefits and Compensation:
  • The range for this position has been established at $23.03 to $32.54 per hour and is U.S. Engineering’s good faith and reasonable estimate at the time of the posting. The compensation offered to the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.
  • Your total compensation will go beyond the number on your paycheck. Team members are eligible for a year-end bonus based on company and/or individual performance as well as paid time off. An industry-leading benefits package including health, dental, and vision plans, matching retirement contributions, and matching 529 contributions all add to your bottom line.
