Summary:
We are looking for a dynamic, proactive, and highly organized individual with strong attention to detail. The ideal candidate will be self-motivated, dependable, and capable of managing multiple tasks efficiently. Key responsibilities include accurate data entry, maintaining and organizing documentation, handling phone calls, greeting visitors, and supporting various administrative tasks as needed. Comprehensive training will be provided to ensure success in all duties.
Essential Duties and Responsibilities:
- Enter Purchase Orders in the system and follow up about receptions with suppliers and warehouse.
- Enter Supplier invoices and credits in the system (Manage Accounts Payable)
- Enter Customer orders in the system according to customer requests and schedule trucks.
- Enter Customer invoices, credits and payment remittances in the system (Manage Accounts Receivable)
- Send/Receive emails as needed to communicate with suppliers, customers, etc.
- File and maintain paperwork and office organization/cleanliness.
- Manage office and miscellaneous supplies inventory.
- Welcome visitors, handle the mail and keyfob control for entrance door.
- Answer phone calls, taking/delivering messages.
- Schedule pickups, handle petty cash.
- Organize birthday and holiday celebrations, work anniversaries gifts.
- Assists Management as needed.
- Perform any other additional duties as needed.
Educations and/or Experience:
- College degree or equivalent and/or 2 years experience as administrative assistant or other office position. (Experience in a manufacturing office environment is a plus).
Requirements:
- Computer and printer skills and proficiency in Microsoft Office suite.
- Solid written and verbal communication skills.
- Reliable transportation to and from work
- Ability to work independently with minimal supervision and be dependable
- Strong attention to detail
- Be able to speak, listen and openly communicate with team members and suppliers as needed.
Work Schedule:
- 7 am - 3:30 pm
- Unpaid 30 min lunch + 1 paid 15 min break everyday
Benefits Package:
- Attendance Bonus $1/h up to 80h in the pay period
- $0.25 raise after introductory period

Work Environment:
- The noise level in the work environment doesn`t require hearing protection.
- Closed shoes are required, high heels not allowed.
