Position

The Comptroller’s Division of Technology Solutions (TS) provides technology services and support to the Office’s Divisions and Boards.  Technology Solutions ensures its services align with the Office’s specific business needs.

We are looking for a responsible IT Office Coordinator to perform a variety of administrative, clerical, and technical tasks. Duties of the IT Office Coordinator include providing support to our managers and employees, assisting in daily office needs and managing our office’s general administrative activities.

Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the competency, knowledge, skill, and /or ability required with or without reasonable accommodation.
  • Associate degree and/or two (2) years of experience in an administrative support or similar role.
  • Experience and proficiency with Microsoft Office/Office 365 product suite.
  • Experience and proficiency with Adobe Creative Cloud products.
  • Possess exceptional soft skills concerning written and verbal communication.
  • Comfortable with routinely shifting priorities and a willingness to adapt to the ever-changing technological needs of our office.
A successful candidate in this position must possess exceptional interpersonal skills and the ability to communicate effectively.  They must have strong written and verbal communication skills. One must be adaptable and open to change. Position will offer partial remote work options.

Responsibilities
Major responsibilities for this position include:
  • Answer phones and greet visitors.
  • Schedule appointments and maintain calendars.
  • Schedule and coordinate staff and other meetings.
  • Prepare communications, such as memos, emails, invoices, and other correspondence.
  • Write, edit, and update documents, including letters, reports, policies, and instructional documents.
  • Manage software subscriptions and user accounts for various systems.
  • Record notes and document meetings.
  • Serve as division training coordinator.
  • Prepare presentations and other various reports.
  • Provide tier-one technical support for the COT Service Desk as needed.
  • Experience with or willingness to learn and administer COT’s internal ticketing system, Zendesk.
  • Assist with office technology procurement processes as needed.
  • Assist with timekeeping processes and support division needs with state’s ERP system.
  • Experience with or willingness to learn Agile/Scrum methodology.
  • Experience with or willingness to learn graphic design software and a keen eye for aesthetics. 
  • Oversee the committee responsible for event planning within the division.
  • Ability to work equally well independently and in collaboration with others.
