Position Overview:

We are seeking an Office Coordinator to support our Nashville Motor Division Operations. This role encompasses a variety of administrative tasks, including clerical duties, multi-line reception responsibilities, and project-based assignments. The ideal candidate will represent our company with professionalism in both face-to-face and telephonic interactions.

Key Responsibilities:

  • Manage multi-line phone systems and direct calls to appropriate personnel.
  • Input time records into the financial system and provide necessary documentation to accounting staff.
  • Welcome clients in a friendly and professional manner.
  • Conduct general administrative tasks such as data entry, typing, and utilizing Microsoft Office applications, including photocopying, faxing, mailing, and filing.
  • Research, price, and order office supplies as needed.
  • Collaborate with vendors to ensure the proper functioning of office equipment, including photocopiers, fax machines, and telecommunication devices.
  • Oversee the timely processing of invoices and monitor expenses to assist in the ongoing review and analysis of the overall budget.
  • Open and close Repair Orders (RO's) as required.
  • Execute weekly billing operations for completed projects.
  • Maintain a Monthly Billing Summary for review by management.
  • At the request of the Service Center Manager, coordinate and schedule general meetings, which may involve sending invitations, reserving meeting spaces, and arranging for refreshments.

Qualifications:

· High School Diploma or GED is required.

· A minimum of 3 years of relevant administrative or customer service experience is necessary.

· Experience in a manufacturing or motor shop environment is preferred.
