Job DescriptionJob DescriptionARIVA Homes, a premier construction, is seeking a highly organized, punctual, and bilingual (English and Spanish) Executive Assistant to support multiple executives and serve as the receptionist for our main office. This role requires excellent organizational skills, a warm and welcoming demeanor for greeting guests, and experience in event planning. Key Responsibilities:
  • Provide comprehensive administrative support to multiple executives, including managing schedules, coordinating meetings, travel arrangements, and preparing necessary materials.
  • Serve as the main receptionist for the office, greeting and welcoming visitors, clients, and employees with a friendly and professional demeanor.
  • Offer refreshments such as water, coffee, or snacks to guests and ensure they are comfortable while waiting.
  • Assist in planning and organizing company events, meetings, and other special occasions, handling all details with precision.
  • Manage executive calendars, prioritize appointments, and coordinate logistics to optimize time management.
  • Handle incoming and outgoing communication, including emails and phone calls, and direct them to the appropriate executives or departments.
  • Prepare reports, presentations, and correspondence on behalf of executives, ensuring accuracy and professionalism.
  • Maintain and organize confidential files, records, and documents, ensuring easy accessibility.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries, and provide on-call support for any changes.
  • Monitor and manage office supplies, ensuring availability for executives and coordinating with the office manager as needed.
  • Act as a liaison between executives and internal teams, fostering effective communication and collaboration.
  • Assist with general office tasks and provide support to other administrative staff as needed.
Qualifications:
  • High school diploma or equivalent required; additional certification or training in office management or a related field is a plus.
  • Proven experience (2-5 years) as an executive assistant or in a similar administrative support role.
  • Prior experience in event planning and coordination is required.
  • Must be fluent in English and Spanish, with excellent verbal and written communication skills in both languages.
  • Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Strong attention to detail and a proactive approach to problem-solving.
  • Excellent communication and interpersonal skills, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work efficiently in a fast-paced, deadline-driven environment.
  • Punctual, reliable, and able to maintain a high level of confidentiality.
