The HRIS Specialist is a key associate at Hope Network whose primary responsibilities include Responsible to participate in the support, maintenance and implementation of the human resources information system (HRIS). Completion of data entry of New Hires, Terminations, Employee Change Forms, and Personal Information Forms. Ensure data integrity and effective HR system utilization and develop queries and reports to meet the Company’s organizations and operation business needs. Research and resolve questions/issues and respond to data inquiries in an accurate and timely manner. Participate in HRIS related projects, system upgrades, etc. as requested.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

The employee is required to follow any other instructions and to perform any other duties as assigned by management as long as the duties are lawful, ethical, and within best business practices.

  1. Regular and predictable attendance is an essential requirement of this position.
  2. Maintain full knowledge of all modules of HR-specific technology support; UKG.
  3. Troubleshoot to identify and resolve reported system issues, open vendor tickets as necessary and monitor issues to satisfactory resolution.
  4. Support processes for implementing HRIS system updates related to upgrades, fixes and special projects to include document review, testing with functional areas using test plans, documenting unexpected results and process flaws, issue management and resolution.
  5. Maintain HRIS system data, tables and workflows.
  6. Develop data integrity protocols and help maintain data integrity in the system by analyzing data, creating and running various audits.
  7. Create and maintain standard reports for ongoing customer needs.
  8. Completion of data entry for employees/departments including, but not limited to, New Hire entry (including tax and direct deposit entry), Employee Change Forms, Payroll Adjustment Forms, Personal Information Change forms, Terminations, and any special entries as required. Provide copies of documentation to payroll for processing.
  9. Responsible for uploading minimum wage changes annually in UKG.
  10. Responsible for reports to outside agencies including EEO-1, BLS, and OES Reports.
  11. Track and maintain union annual wage increases and dues.
  12. Responsible for understanding and ensuring compliance with union collective bargaining agreements as it pertains to areas of responsibility.
  13. Track error log for Applicant tracking system imports.
  14. Responsible for monitoring new hire documentation to ensure Hope Network is in compliance with all Federal, State and local employment laws, including CARF, Licensing and County MHS compliance.
  15. Knows and understands policies and procedures. Provides guidance on application and recommends revisions that support organizational excellence and best practice.
  16. Provides feedback on reports, documentation, and forms used within the Human Resources function to recommend updates, identify and eliminate errors.
  17. Responsible for providing monthly metrics and identifying any trends or patterns.
  18. Responsible for maintaining the Employee Referral Bonus Program.
  19. Filing on a regular basis to ensure the employee files are maintained.
  20. Assist in assembling new hire files on an as needed basis.
  21. Disassemble terminated files on an as needed basis.
  22. Other duties, as assigned or required.

Educational / Talent Requirements:

  1. Associate's degree or 2 years’ experience in related field.
  2. General understanding of HR policies and practices
  3. High level of integrity and discretion in handling confidential data.
  4. Ability to accurately and efficiently input data entry.
  5. Proficiency in MS Excel.
  6. Ability to work independently and demonstrate well developed organizational skills.

Work Experience Requirements:

  1. Knowledge of UKG preferred.
  2. Familiar with ADA, ERISA, OSHA, HIPAA, and other government regulations.
