Position summary:  
The Program Coordinator is responsible for supporting and carrying out day-to-day administrative and operational functions of American Humane’s Sanctuary, located in Palm City, FL, and the Lois Pope LIFE Center for Military Affairs programming, in particular, the Pups4Patriots program. Reporting to the Director, Sanctuary & Military Affairs Programming, the Coordinator works as a collaborative member of the Sanctuary and Military Affairs teams to ensure smooth functioning and proper coordination of programmatic work taking place both at the Sanctuary facility and at sites across the country. 

Responsibilities:
Support the general administrative and operational needs of the Sanctuary’s programmatic activities and programming under the Lois pope LIFE Center for Military Affairs, specifically P4P and Military Working Dogs.

Military Affairs (estimated 50%)
  • Program administration:
    • Process monthly P4P trainer invoices and veteran reimbursements
    • Assist with grant and budget administration and reporting as needed
    • Book veteran/trainer travel as needed for events and trainings
    • Collaborate with trainers to schedule trainings and coordinate logistics, including booking travel and ordering supplies
    • Assist with reimbursements for Military Working Dog reunifications and veterinary care
  • Client services:
    • Provide support to dog trainers and veterans/clients as needed
    • Maintain accurate and secure computerized records of service dog placements; participate in the selection, implementation and management of constituent database
    • Distribute AH patch and ID badge to graduates
    • Provide regular follow-up with all graduates
    • Send transfer of ownership form to graduates after one year
  • Participate in meetings to understand program priorities and organizational growth goals and objectives
  • As directed by program leadership, support outreach efforts with things like mailings, phone calls, and special activities
  • Assist with special projects as assigned

Sanctuary (estimated 50%)
  • Serve as a point of contact for welcoming visitors to the Sanctuary property
  • Develop a strong understanding of the animals and activities at the property in order to give tours and articulately describe the work of the Sanctuary to stakeholders and other guests
  • Work collaboratively with the Director and other relevant American Humane staff to schedule and coordinate all activities taking place at the Sanctuary, including: P4P trainings, Rescue trainings, donor visits, fundraising or community outreach events, and eventually, volunteer training and Humane education activities
  • As needed, serve as a back-up point of contact for vendors or other providers who are servicing the property or need access for animal care purposes
  • Assist the Office Manager as needed to ensure smooth operations of the Sanctuary office, including supply ordering and vendor management
  • Develop a working understanding of Sanctuary technology and liaise with IT to support users as needed and ensure everything is working properly
  • As Sanctuary construction completes and activities develop, remain flexible to accommodate special projects or shifting duties

Essential experience, knowledge, skills and abilities:
  • Bachelor’s degree in relevant field strongly desired
  • Minimum of 1-3 years of program coordination experience
  • Familiarity with grant management helpful but not required
  • Outstanding interpersonal and communication skills over the phone, virtually, in-person, and in writing
  • Conducts oneself with a high level of professionalism and responsiveness
  • Operates with a high level of personal integrity and discretion, maintaining confidentiality, using sound judgment and exercising sound decision making
  • Experience working with service dog training/partnering programs or comparable experience preferred
  • Detail-oriented, well-organized and able to handle logistical coordination in a rapidly changing environment
  • Ability to work both independently and as part of a team
  • Strong customer service orientation; ability to independently problem solve
  • Proficient in Microsoft Office Suite (Teams, Word, Excel, PowerPoint and Outlook) able to quickly learn and adapt to new software or database systems

Physical demands and work environment: 
  • Position will be a hybrid of regular in-office and remote work based at the American Humane Sanctuary in Palm City, FL, no exceptions.  Flexibility for remote telework is based on organizational policy, need and manager discretion
  • Must be comfortable working around and with a range of animals, in particular dogs
  • Exposure to potential animal hazards such as animal bites and zoonosis
  • Local travel likely, estimated up to 10% but could increase over time, minimal travel within the United States, possible.
  • Occasional weekend and evening work hours may be required
  • While performing the duties of this position, the employee will regularly be required to:
    • Sit for extended periods,
    • Stand, bend, stoop, and kneel,
    • Look at and work on a computer screen for extended periods, and
    • Talk, hear and exchange information over the telephone, video screen and in person
