Executive Assistant

Clear Employer Services is assisting with the recruiting of an Executive Assistant for a Philadelphia based non-profit organization. The position is a full-time, onsite role supporting the CEO and Executive Leaders in the organization.
The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.
The normal hours for the position are 9am-5pm Monday-Friday. The individual selected for this position will need to have scheduling flexibility to support extended hours and/or weekends as needed.
Responsibilities:
- Supporting the CEO & the Executive Team
- Supporting day-to day administrative operations
- Manage Outlook calendar
- Support special projects, events, and board of director operations
- Manage the organization calendar
- Supervise the administrative assistants
- Manage office operations and meetings
- Provide back-up for the reception area
- Coordinate, budgeting, and ordering of office supplies
- Coordinate and attend board meetings
- High school diploma or GED required; associate's or bachelor's degree preferred
- Minimum of 5 years of administrative experience
- Non-Profit and/or Community Youth Services Experience preferred
- Excellent professional oral and written communication skills; fluent in the English language
- Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, and OneNote)
- Proficient in learning new systems and tools to standardize and automate processes
- Ability to maintain high-level confidentiality standards on matters of a sensitive and private nature
- Must be able to travel to multiple locations within the Philadelphia surrounding areas
- Manage multiple tasks, make decisions, meet deadlines and work under pressure
- Work effectively with other professionals
- Ability to promote a sense of urgency within the team for reaching goals
- Strong follow up skills to ensure deadlines are met and team members are held accountable for achieving results
