BACKGROUND

Healthy Minds Policy Initiative, a fund of the Tulsa Community Foundation, is a nonpartisan team of policy and mental health experts who work to end untreated mental illness and addiction in Oklahoma through large-scale policy and practice transformation. The organization was founded by The Anne and Henry Zarrow Foundation in 2019.


Since its inception, Healthy Minds has published dozens of pieces of original research and analysis, helped secure tens of millions of dollars in competitive funding for Oklahoma’s behavioral health care system, and initiated more than a dozen community-based partnerships committed to ending untreated mental illness and substance use. Healthy Minds provides data, consultation, and education on best practices to Oklahoma legislators and other leaders committed to improving the mental health of all Oklahomans.



JOB PURPOSE

The Development and Operations Coordinator is a support staffer for the organizational advancement division, with responsibilities for internal operations, fundraising, client relations. The position’s day-to-day activities are essential for the continued health and long-term sustainability of the organization. Working with members of the Healthy Minds team across divisions, this position will ultimately help ensure that donor and client expectations are met and exceeded. This position is also expected to be an important contributor to developing, improving, and managing processes, policies, and procedures that increase operational efficiencies and promote good financial stewardship.


The Development and Operations Coordinator reports to the Director of Organizational Advancement and is a full-time, non-exempt position.



ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Keeps leadership appraised of the organization’s financial position by tracking and categorizing expenses, generating budget reports, and maintaining current records of forecasted and secured revenue.
  • Serves as the organization’s point of contact for accounts payable and receivable.
  • Supports resource development by maintaining prospect lists of funding sources — including donors, grants, and RFPs for services — and elevating high-priority opportunities for impact.
  • Contributes to written grant and funding proposals in support of both fundraising goals and key strategic priorities.
  • Supports the fulfillment of contracts with grantors, fee-for-service clients, and vendors by maintaining accurate records of agreements and reporting requirements, and contributing to grant and funder reports as requested.
  • Maintains a calendar of key opportunities for organizational leadership and visibility, including conferences, speaking engagements, and events where staff attendance would advance organizational goals.
  • Organizes and maintains digital collaboration tools, including project management and file storage software.
  • Assists in documenting and reporting progress on organizational goals, projects, and initiatives.
  • Provides planning, administrative, and logistical support to Healthy Minds’ events.
  • Maintains familiarity with behavioral health philanthropy both in Oklahoma and nationally.
  • Other duties as assigned.
Requirements:

REQUIREMENTS AND QUALIFICATIONS

This position requires at three to five years of experience in nonprofit development, accounting, and/or general operations. A successful candidate will have a foundational understanding, or ability to quickly learn the mental health and social service landscapes at the state and local levels. Experience at a behavioral health organization is a distinct advantage.



Education and Experience

  • High school diploma or equivalent required.
  • At least 3-5 years of experience in nonprofit development, accounting, and/or general operations.

  • Able to work from Healthy Minds’ main office in Tulsa
  • Able to work remotely with Internet access
  • Able to occasionally travel within the state, and infrequently out of state


Salary Description

  • $28.00 - $33.00 per hour. Equates to approximate annual earnings between $60,000.00 to $70,000.00.
