Overview:

The Operations Support Coordinator plays a vital role in overseeing the daily administrative and operational functions within the branch. This position encompasses a variety of responsibilities, including but not limited to office management, visitor engagement, petty cash management, and providing comprehensive support to both branch and warehouse management teams.

Key Responsibilities:

• Serve as the primary point of contact between the branch and the Customer Care department.

• Manage daily documentation and paperwork efficiently.

• Prepare necessary shipment documentation for deliveries.

• Assist in scheduling logistics for routes and deliveries.

• Generate consignment Purchase Orders for customer-owned inventory.

• File original Bills of Lading as required.

• Process copies of Bills of Lading and enter essential data into the system.

• Create and modify Certificates of Analysis and Certificates of Conformance.

• Develop and distribute reports to section leaders or as directed by branch management.

• Handle drum inspection documentation and maintain proper filing.

• Order and manage inventory of office and warehouse supplies.

• Provide general administrative assistance to the Branch Manager and other management personnel as needed.

• Actively participate in the branch's Entrepreneurial Operating System (EOS) team.

• Create and maintain various tracking spreadsheets tailored for specific customers.

• Collaborate with the Accounting department to support Accounts Payable and Accounts Receivable functions.

• Enhance office productivity through proficient use of relevant software applications.

• Ensure compliance with governmental regulations regarding record retention, protection, retrieval, transfer, and disposal.

• Review clerical records to guarantee completeness, accuracy, and timely processing.

• Prepare daily activity reports for multiple section leaders as guided by management.

• Provide proof of delivery and supporting documents to customers upon request.

Qualifications:

• High school diploma is required; some college coursework is preferred.

• A minimum of 5 years of experience in administrative support is required; experience in a manufacturing plant environment is highly desirable.

• Exceptional written communication skills, including the ability to draft business correspondence.

• Proficient in MS Office Suite and Adobe applications.

• Strong verbal communication skills, with an emphasis on effective interaction with both internal and external customers over the phone.

• Ability to engage effectively with management, operations teams, and key functional areas outside of the plant.

• Experience in the chemical industry is preferred.
