Role Overview
The Administrative Operations Coordinator plays a crucial role in ensuring the smooth functioning of our office environment. This position involves overseeing a variety of administrative tasks while ensuring adherence to industry regulations. Excelling in this role can lead to advancement opportunities within the organization. Key Responsibilities
- Facilitate the procurement of industrial materials by generating purchase orders, soliciting vendor quotes, and processing invoices.
- Coordinate and organize production meetings across various departments.
- Compile and assess reports on purchasing activities to aid in informed decision-making.
- Ensure compliance with safety regulations and conduct regular safety meetings.
- Manage the physical condition of the office, including maintenance and cleaning services.
- Oversee mail distribution and maintain office supply inventory.
- Manage document control processes, ensuring accurate completion and archiving of engineering and administrative documents.
- Conduct bi-weekly meetings with leadership to discuss operational functions and address potential issues proactively.
Qualifications
- High school diploma required; Bachelor's degree in Business Administration or a related field preferred.
- Prior experience in office management is preferred, particularly in a manufacturing or engineering context.
- Proficient in Microsoft Office Suite.
- Familiarity with safety compliance and practices is advantageous.
- Self-driven with a proactive approach to identifying optimization opportunities.
- Exceptional organizational, leadership, and communication skills.
- Able to multitask and prioritize effectively in a fast-paced environment.
- Detail-oriented and capable of working both independently and collaboratively.
