Children’s Therapy Center is seeking a Lead Family Resources Coordinator to join our Early Support Team serving our Maple Valley/Auburn-Enumclaw service-area  In collaboration with the Team Lead and team members, FRC Leads ensure that Children’s Therapy Center’s Early Support Services comply with Part C regulations. They lead a group of Family Resources Coordinators, providing leadership, training, and coaching to facilitate access to early support services through the ESIT Program for families with children ages 0-3. FRCs serve as the primary contact for families during their participation in the program. In this role, the FRC Team Lead fosters teamwork and drives processes to ensure each family receives the necessary services and support to help their child reach their goals.

Job Description

  • Participate as a member of a multi-disciplinary team to conduct family-centered, strengths-based screenings, evaluations, and ongoing assessments to inform eligibility determination and contribute to full evaluation report.
  • Understand and educate caregivers on the wide range of children’s development across individual, cultural, and community differences.
  • Provide caregivers with culturally relevant support in the home, natural environment and/or telehealth, utilizing a coaching model that promotes health, well-being, and development of the whole child.
  • Coach caregivers to support culturally relevant routines that promote health, well-being, and development of the child.
  • As part of the ESIT team, collaborate with caregivers to develop and/or implement the Individualized Family Service Plan (IFSP) that supports healthy racial, cultural, gender, socio-economic and disability identity for children and caregivers.
  • Develop strong relationships with caregivers and work collaboratively with community members and multi-disciplinary ESIT team to meet family's needs.
  • Participate as an active member of the ESIT team during team meetings, staffing, in-services, peer coaching/consultation.
  • Demonstrates ability to embrace, integrate and adapt to cultural, racial, linguistic, ethnic, and socio-economic diversity into the daily curriculum by partnering with families and caregivers to incorporate and value aspects of language and traditions into the daily routine.
  • Values and promotes relationships between caregivers and children by fostering warm/healthy attachments and interactions.
  • As a member of a multi-disciplinary team, responsible for ensuring compliance with Children’s Therapy Center’s, IDEA Part B & C’s processes, policies, and timelines.
  • Inspire, coach and support FRCs working with families enrolled in CTC’s Early Support program
  • Ensure FRCs are demonstrating CTC’s guiding values and approach; foster culture and positive morale on team. 
  • Maintain an atmosphere that is warm and inviting for all staff, families, and guests
  • Build collaboration and cohesiveness within the team to support work with families, and the teaming.
  • Coordinate and collaborate with the Team Lead in partnership to make team decisions; Lead FRC is responsible for decision-making related to FRC-specific duties and tasks, as well as having working knowledge of provider related duties and tasks in order to support Team lead/providers related work to ensure ESIT services go uninterrupted for short term periods (i.e. vacation).
  • Meet with referral coordinators at least monthly to support distribution of referrals, intake compliance items and other (based on needs).  
  • Monitor weekly FRC caseload numbers and referrals to report weekly. Provide coaching and performance management support as needed to meet program expectations.
  • Submit hire requests to ESIT Program Manager based on program hiring thresholds. 
  • Support the intake and evaluation processes for the team, ensuring that families are receiving timely and appropriate eligibility evaluations; collaborate with Team Lead as needed.
  • Regularly monitor the Referral Smartsheet and follow up on FRC intake task list, as needed. 
  • Support performance-quality-assurance measures by following up on elements of compliance, documentation and quality of work with individual teams and team members by auditing and monitoring Smartsheet, Raintree (RT), and the ESIT Data Management System (DMS) regularly. 
  • Monitor contract compliance around data entry into the state ESIT DMS, ensure RT and DMS dashboards are current, late reasons meet ESIT guidelines, Initial IFSPs, Review IFSPs, Annual IFSPs and Transition Conferences. Ensure IFSP dates are entered into RT.
  • Support FRCs and service providers in navigating complex situations with families.
  • Review School District reports and RT missing paperwork reports at least monthly.  Follow up with FRCs to be sure funding paperwork is submitted, timelines are met, regular documentation and monthly contacts are made.  
  • Review and collaborate to update and maintain CTC ESIT written processes and procedures.
  • Meet with local school district representatives at least annually to review and collaborate regarding transition processes to ensure smooth transition from Part C to Part B services for children and families; update school district contact information and details regarding availability as changes occur for FRC’s to access. 
  • Navigate and support FRCs in building resources and partnerships, including, but not limited to, community organizations, community networks and educational opportunities for ESIT staff and families.
  • Assist FRCs in finding coverage during their absences.
  • Lead informative and efficient FRC team meetings.
  • Follow DCYF practice guidelines and support implementation of updates/changes.  
  • Manage equal distribution of work across FRC team and support when needed to assist with FRC job tasks (referrals, intakes, etc). Lead caseloads determined based on staff discipline/role and manager approval.
  • Conduct one-on-one meetings (minimum monthly) with FRCs utilizing appropriate check-in form and provide coaching and performance management support as necessary.
  • Support the hiring process appropriately and facilitate the orientation, onboarding, supervision, and reviews of FRCs, in collaboration with Team Lead.
  • Ensure timely and meaningful professional development reviews are conducted with FRCs at 90-days of hire and annually and support professional development opportunities. 
  • Support training and onboarding for CHERISH and Deaf and Hard of Hearing (DHH) Program specific FRC’s. 
  • In collaboration with Human Resources, maintain documentation of active FRC credential in accordance with company and DCYF requirements for yourself and direct reports.  
  • Approve FRC Timesheets, mileage, and mentor bonuses.
  • Provide technical assistance with electronic systems utilized by ESIT & CTC and support administrative tasks such as: transfers, proxy rights, and creating DMS user accounts for new staff.   
  • Attend and participate in ESIT leadership and team meetings as assigned.
Qualifications

  • At least 2 years’ experience working in ESIT, or similar experience in case management, social work/social welfare, family studies, infant mental health, early childhood development, and/or special education.
  • Valid CPR/First Aid card
  • Strong communication skills, including the ability to convey thoughts and express ideas effectively using various oral, written, visual, and/or non-verbal skills.
  • Effective listening skills, including the ability to recognize, comprehend and appreciate various perspectives and diverse points of view.
  • Organized and detail oriented, with the ability to organize work to meet various commitments and responsibilities.
  • Ability to anticipate potential challenges and adjust to changes as needed.
  • Collaborative and participatory; serves as an active member of the team, inviting diverse perspectives to support organizational priorities and common goals.

  • Bilingual skills in English and Spanish are a plus.


Additional Information

Work schedule is 40 hours per week, full-time Monday through Friday expected 8am-5pm, including meal breaks and rest periods.

Work is completed onsite, in-person with some opportunities for remote work.

Onsite, in-person is required for all Team and FRC Meetings as well as family-facing meetings.

Must be able to travel between CTC locations and community settings; and have a valid driver’s license or other reliable, personal transportation.

Compensation & Benefits:

Children’s Therapy Center offers equitable and competitive pay commensurate with job-related experience and education. The pay rate range for this position is $24.85 - $37.70 dependent on related experience and education.

Our comprehensive benefits package includes generous paid time off, medical, dental, vision, life insurance, and continuing education benefits.  Supplemental/premium insurance options are also available.  Eligible employees can enroll in our retirement plan with their first paycheck and will be eligible for company contributions after their first year of employment.
