A Senior Administrative Coordinator is sought for a distinguished real estate team at The Amber Bills Real Estate Group. The owner is eager to delegate daily administrative responsibilities to focus more on real estate transactions with the support of this individual. We are in search of an exceptional candidate who is ready to exceed expectations.

The ideal applicant will possess experience in the real estate sector and hold a valid real estate license in Washington. They should have a proven track record in developing and implementing office procedures and processes. A passion for organization and a strong sense of urgency are essential. This individual must be adept at managing administrative tasks for a business or executive.

The successful candidate will thrive with minimal oversight, adapt to a fast-paced environment while maintaining organization and focus, and gradually assume greater responsibilities and leadership within the team.

Compensation:
  • Salary Range: $60,000 - $70,000

Key Responsibilities

• Oversee the collection of commissions, manage budgets, generate financial reports, and pull additional reports reflecting business status and pipeline management.

• Manage all contracts through to closing and oversee the operational and sales aspects of the closing process, collaborating closely with our transaction coordinator.

• Coordinate the procurement, installation, and upkeep of all office equipment and supplies.

• Supervise all company marketing processes and procedures, assisting with marketing tasks such as social media, and liaising with marketing vendors to optimize the marketing plan.

• Track all sales and ROI metrics for lead systems.

• Maintain regular communication with buyers and sellers, providing progress updates, feedback from showings, and keeping the lead broker/owner informed on contract statuses. Advise when the lead broker/owner should engage in negotiations or problem resolution.

• Support the lead broker/owner by preparing Comparative Market Analyses (CMA's), Seller Net Sheets, Buyer Net Sheets, and updating the contact database as necessary. Maintain listing and buyer materials, and prepare pre-listing packages and buyer consultations.

• Assist the lead broker/owner in coordinating staging, repairs, and home improvements necessary for property showings, ensuring timely completion with our stagers.

• Manage and deliver signage, marketing materials, and lockboxes for each listing.

• Aid in the marketing of listings.

• Assist in referring leads to the sales staff according to our referral plan.

• Schedule showings as required and handle all buyer-related tasks, including attending inspections, walkthroughs, and closings as necessary.

• Develop and implement systems for contact database management and back-office support, ensuring efficient operations and making revisions as needed.

• Create and maintain all team filing systems (listings, contracts, legal documents, correspondences, etc.) and computer databases, ensuring all reference materials and forms are current. Collaborate with our transaction coordinator to ensure file completion.

• Inform the lead broker/owner of any issues that require attention and maintain clear communication regarding clients.

• Assist with recruitment as needed.

• Help organize and plan events, attending 3-4 events annually.

• Ultimately, you will be responsible for supporting the lead broker/owner in all aspects necessary to facilitate their focus on sales.

Qualifications

• 2-5+ years of experience as an Executive Assistant

• A real estate license in Washington is preferred

• Exceptional service-oriented mindset

• Excellent organizational skills

• Strong attention to detail

• Proficient with technology; familiar with the latest office tools and applications, and able to quickly navigate new systems

• Capable of prioritizing daily tasks

• Able to work independently while supporting a team and managing time effectively

• Strong interpersonal skills, including superior oral and written communication abilities

• Excellent problem-solving skills

• Discretion and confidentiality

• Customer service focus

• Willingness to maintain a real estate license and Realtor membership upon hiring (Agent will reimburse)

• Comfortable working with strong personalities

• Must be thorough and enjoy creating to-do lists

• This individual must embody a Can and Will Do attitude, ready to do whatever it takes to enable the owner to focus on selling.
