JOB SUMMARY


A sales administrator plays a crucial role in a company’s sales department, ensuring the smooth functioning of the day-to-day operations. The primary responsibilities of this role include managing customer data and records, coordinating with different departments, tracking, and analyzing sales reports, and providing administrative support to sales teams.[AT1]



ESSENTIAL DUTIES & RESPONSIBILITIES


  • Gathering data for analysis by the account managers or director from various sources such as customer online data systems, Syteline, market intelligence data from the internet, etc.
  • Updating rework and update logs as those types of items get entered and completed.
  • Organizing the details for customer visits (hotel reservations; Keeneland, bourbon tours, or other activities; meal reservations; etc.) This will also frequently include managing last-minute cancellations or substitutions.
  • Tracking internal processes such as NPIs, quotes, and others to make sure we know which department to contact if an item gets stalled.
  • Helping with PowerPoint presentations for Sales & Marketing, customer visits, etc.
  • Organizing company booths, giveaways, displays, etc. for tradeshows, expos, conferences, or other events.
  • Ordering marketing supplies and giveaway items such as hats, apparel, business cards, banners, etc.
  • Helping make travel arrangements and assisting with expense reports

OTHER DUTIES & RESPONSIBILITIES


  • Maintains a clean and orderly work area for safe operation as well as customer presentation.
  • Adheres to all safety guidelines, and uses Personal Protective Equipment (PPE) preventing incidents or injury to self or others.
  • Performs work according to the highest quality standards to produce a superior end product, meeting or exceeding customer expectations.
  • Participates in and supports the principles of Open Book Management.
  • Performs other duties as assigned.

SKILLS & ABILITIES


  • · Assisting with social media, including taking photos/videos of events that are relevant.
  • Support others in the sales department while they are travelling but need a set of eyes and ears in the plant.
  • Assisting with sales KPI reports; updating sales metrics on plantwide KPI board
  • Help keep CRM (Customer Relationship Management) system updated.
  • Monitoring our Lead Forensics account to pass along relevant information when a prospective customer visits our website.
  • General admin support for members of the sales department
  • Managing the company Christmas card list and addressing envelopes and mailing cards in December
  • Attending and keeping minutes in Sales Tactical meetings
  • Shipping items to customers, suppliers, or other divisions as needed.
  • Organizing and picking up meals for customers when we have working lunches, picking up donuts or bagels and coffee for customer visits in the morning.
  • Keeping the customer drinks stocked in the conference room refrigerator and coffee maker.[AT2]
  • Must be advanced in Outlook, Word, and Powerpoint.
  • Must be proficient in Excel.
  • Must have professional telephone skills when talking to customers.
  • Maintains a driver’s license in good standing with the state.

EXPERIENCE REQUIREMENTS


  • Syteline experience preferred.
  • Experience working in an office environment.
  • Experience in a sales or other customer-facing role is preferred.

EDUCATION REQUIREMENTS


  • High School diploma but must meet skills & abilities requirements above

PHYSICAL REQUIREMENTS ESSENTIAL TO PERFORM THE DUTIES OF THE JOB


  • Frequently remains in a sitting position to perform desk duties.
  • Frequently communicates with customers and members of the production, warehouse, and sales departments.
  • Seldom exposed to loud noises when walking floor during production.
  • Occasionally lifts objects such as supply boxes with weight up to 60 pounds.
  • Occasionally walks and stands on the production floor to communicate with shop floor personnel or team and group leaders.
  • Frequently uses the computer with fingers and hands.
  • Frequently views the computer to perform administrative duties such as drafting reports, letters, and documents.
  • Seldom exposed to outside elements when attending external business functions on business travel.
  • Frequently works in a well-lit, tempered room experiencing temperature changes.
  • Occasionally travels via air or car to visit customers, other SRC facilities, or attend trade shows
