Administrative Assistant 2

Part-time: 0.50 FTE (20 hours per week)

Salary: $21.82 - $29.10 per hour

Purpose:

Oregon Research Institute (ORI) is seeking an Administrative Assistant 2 to provide administrative support to the Director of Finance and Administration (DFA), the Science Director (SD), Scientist Council, Science Support Council, the Board of Directors, and various Committees and Task Forces of the Board, as assigned by the DFA and SD.

ORI is an independent behavioral sciences research center dedicated to understanding human behavior and improving the quality of human life through the prevention and treatment of health, educational, and social problems. Our work is broad in scope, from basic research to understand the causes of human behavior, to applied research to develop programs to promote behavior change.

Examples of Duties:

  • Collaborate with SD and DFA for developing proposals and implementing plans for strategic initiatives in cooperation with Scientist Council (SC), Science Support Council (SSC), the Board of Directors and relevant committees and task forces of the Board.
  • Provide administrative support to ORI participatory governance system. Facilitate yearly governance elections. Duties vary by committee and may include developing agendas, hosting video conferencing, handling meeting logistics, scribing meeting minutes, creating straw polls, maintaining inhouse webpages, etc.
  • Coordinate special events, e.g., the Annual Meeting, Scientist Retreats, Board Retreats, and other special events as needed.
  • Provide administrative support to the SD and the DFA, e.g., scheduling meetings, drafting documents, tracking expenses, etc.
  • Provide administrative functions for Scientific Support and Coordination. Duties include collaborating with the SD on points counts to set scientists' salaries, maintaining the Scientific Support and Coordination inhouse webpage, constructing and distributing Qualtrics surveys for scientists (e.g., proposal goals survey, SC elections, etc.), compiling and entering hit rate data for yearly analysis, supporting SD with scientist recruitment and colloquia.

Position Requirements

  1. Knowledge, skill, and ability:
    1. Must be able to work independently on a variety of administrative tasks. Requires the ability to work autonomously and take an administrative project from the development and planning stage through to completion.
    2. Must be capable of researching and advising on issues related to the work of the SD, DFA, Scientist Council, Science Support Council, the Board of Directors, and various Committees and Task Forces of the Board.
    3. Requires excellent communication skills and the ability to communicate effectively in a variety of media, to both ORI employees and external partners.
    4. Highly developed writing and editing skills required.
    5. Proficiency with all Office Suite software and the ability to learn to use specific technical software as needed.
  2. Experience and training:
    1. Bachelor's degree or combination of school and prior work experience required to fulfill the duties of the position.
    2. Budget management experience preferred.
    3. Experience with event management preferred.
  3. Personal traits and characteristics:
    1. Must be able to work effectively with others and have good interpersonal skills.
    2. Must work well under pressure. Must be willing to accept responsibility, and to show good judgment, initiative, and resourcefulness.
    3. Must be willing to adhere to the principles of confidentiality governing research work and the ORI computer acceptable use policy.
    4. Must value working in a collaborative environment.

  • Work is conducted in an office environment with some travel to sites required. Constant hearing, seeing, talking, and sitting.
