Job Purpose

The Assistant Events Coordinator supports the Events Manager in daily operations, focusing on coordinating and providing customers with the materials needed for trainings, tradeshows, seminars, and labs. This role includes managing administrative tasks and handling the shipping and receiving of products.


Duties and Responsibilities

Duties include one or more of the following:

  • Assist with the setup, execution, and teardown of events.
  • Coordinate registration, guest lists, and event materials distribution.
  • Provide on-site support to ensure events run smoothly and address any issues that arise during the event.
  • Manage event-related communications, including answering inquiries and sending confirmations.
  • Maintain accurate records of event budgets, invoices, and expenses.
  • Prepare post-event reports and assist with evaluating the success of events.
  • Assist with the shipping and receiving of workshop product.
  • Manage requests from Intranet and Workshop email.
  • Manage availability of materials with Regional Sales Managers, Distributors, and Sales Reps
  • Set up for cadaver labs in office
  • Other duties as assigned


Qualifications
  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field preferred
  • Previous experience (1-2 years) in event coordinating or a related area is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work well under pressure and manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite.
  • Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
  • QuickBooks experience.

Working Conditions
  • This role operates in an open office environment
  • Some travel required
  • The position may require lifting and moving event materials and equipment.
  • The role involves occasional evening and weekend work, depending on event schedules.
  • Works with cadavers

Physical Requirements
  • Ability to lift heavy objects and must be able to lift up to 50 lbs.
  • Standing for extended periods of time
