The Professional Office Administrative Assistant position reports directly to the Estate Planning Support Specialist. The incumbent will assume multiple responsibilities within the organization and be a key component to back office operations.  

 

Core responsibilities:

 

·         Contact doctors and hospitals for medical records associated with Life Insurance applications

·         Work directly with the Estate Planning Support Specialist to process due diligence requirements for all Life Insurance policies

  • Responsible for all incoming phone calls including screening and routing callers to the appropriate party
  • Manage and order all office supplies 
  • Handle administrative requests and queries from Executives 
  • Process travel requirements for executives when necessary
  • Generate the reports and minutes for the weekly staff meetings
  • Proactively setup conference calls, and zoom meetings
  • Work directly with clients to problem solve and source answers to their questions
  • Maintain polite and professional communication internally and externally
