Position Summary  

The responsibility of the Administrative Coordinator “AC” is to ensure that the administrative office and all ICM facilities operate smoothly and efficiently. AC duties and responsibilities usually include administrative tasks, receiving and directing visitors, handling basic office tasks, coordination of janitorial, repairs and maintenance work, coordination of Information Technology and ICM devices, auditing agency files for completeness and accuracy, and providing through support to the Team Member Services function. The position will be cross trained with other Departments to ensure continuity and coverage. 

Primary Duties and Responsibilities  

  • Oversee all front desk administration 

  • Order and sign for office supplies 

  • Coordinate and mail all employee birthday cards and employee tenure recognition certificates  

  • Answer phones and address callers’ requests on a rotation with other department members 

  • Offer customer service on behalf of the organization to supervisors, field staff and ICM customers  

  • Conduct audits of agency records when requested 

  • Coordinate facilities, meals, handouts, etc. related to periodic training and meetings. 

  • Responding to security alarm calls and emergencies and using professional judgment to make decisions regarding emergency situations during business hours 

  • Supply Requests through PASSE – this requires Excel  

  • IT Liaison – coordinate equipment and devices for the agency, troubleshoot IT issues, maintain IT supplies, work directly with 3rd party IT vendor, assist with onboarding IT for new employees 

  • Provide support and administrative assistance to Executive Management 

  • Facility manager at the Merrill & Kanis buildings.  

  • Set up alarm codes 

  • Set up Verizon 

  • Set up eFax 

  • Monthly Expense Report preparation for Office Manager and CEO 

  • Daily Mail 

  • CPR/First Aid/AED Instructor 

  • Autism department employee onboarding coordination 

  • Support function to ICM’s Administration Team Member Services Department. Duties include assisting with New Hire Orientation, background checks, drug tests, licensure requirements, payroll, personnel files, Workers' Comp, employee benefits, 403(b) retirement plan, and other duties as assigned. Must be able to exercise discretion and independent judgment with respect to all Finance & Admin Dept. matters.

General Requirements for All ICM Employees  

  • Understands and endorses ICM’s mission and vision 

  • Follows all ICM policies and procedures and asks for clarification and explanation when needed 

  • Understands and complies with all HIPAA regulations 

  • Maintains a clean and orderly work environment 

  • Must have a high school diploma or equivalent (some positions require additional      education) 

  • Maintains prompt and regular attendance 

Job Requirements 

  • Proven experience as administration manager  

  • Familiarity with financial and facilities management principles. 

  • Familiarity with IT coordination  

  • Proficient in MS Office and Excel. 

  • An analytical mind with problem-solving skills. 

  • Excellent organizational and multitasking abilities. 

  • A team player with leadership skills. 

  • Contributes to team effort by accomplishing related results as needed. 

 

Work Schedule 

Primarily, the days and hours will be Monday – Friday 8 am to 4 pm. Weekends and evenings as needed if emergencies arise. Hours and workdays will vary to accommodate the needs of the customer and ICM. ICM permits a hybrid approach to working remotely and in-office, as approved by the supervisor.  

Travel to other ICM locations, conferences and other work-related activities may sometimes be necessary, but should not exceed 10% of the time. 

Qualifications/Specifications 

Education:   

  • High School Diploma or GED required 

  • Bachelor's or associate degree in business or management preferred. 

  • Valid driver’s license required 

Experience:    

  • Must be 18 years of age or older 

  • Minimum 1 - 3 years’ experience in role 

  • Industry and management experience a plus  

  • Must be able to successfully use technology such as a telephone, tablet, computer, etc.  

  • Must be able to drive an automobile
