Position Summary:

Accounts Payable Specialist responsibilities include processing and paying all vendor invoices received in an accurate, efficient and timely manner as well as compiling, updating and maintaining accurate financial records. The ideal candidate will have a solid understanding of bookkeeping and accounting principles, along with strong analytical and problem-solving skills. You must possess the ability to effectively work both independently as well as in a team setting. You must display excellent verbal and written communication skills and have the ability to work well under pressure in a fast-paced environment.

Essential Functions:

  • Responsible for managing all aspects of accounts payable for multiple companies.
  • Process accounts payable transactions in a construction-based software, coding to both jobs and the specific GL accounts accurately.
  • Ensure proper approvals are obtained on each job-related invoice prior to processing.
  • Process and cut accounts payable checks in a timely manner, to avoid delinquencies
  • Work closely with vendors and company personnel to ensure the accuracy of the company records.
  • Manage the company corporate credit card program including receipt entry, coding, timely payments
  • Maintain records and process commissions and reimbursements.
  • Maintain vendor files, W-9s, 1099 compliance
  • Maintain accounting records as required per company policy and required for GAAP and control purposes (documentation, approvals, etc.)
  • Ensure Subcontractors are in compliance with insurance and state agency prior to payment.
  • Provide assistance and support to company personnel
  • Research, track and restore accounting or documentation problems and discrepancies
  • Inform management and compile reports/summaries as needed or requested.
  • Manage, maintain, retrieve, and organize data electronically.
  • Effective communication by email with vendor and company personnel
  • Filing and processing heavy paper load
  • Compile and sort documents, such as: invoices, work orders, checks, and substantiate business transactions.
  • Ad hoc projects as needed

Skills & Abilities:

  • Proven accounting experience in Accounts Payable
  • QuickBooks Enterprise Contractor
  • Skilled in use of Excel: with ability to create spreadsheets, and formulas.
  • Organization, computer skills, filing skills and other in-office abilities required.
  • Familiarity with bookkeeping and basic accounting procedures
  • Competency in MS Office, databases, and accounting software
  • Accuracy and attention to detail

Education and Experience:

Associate/bachelor’s degree in accounting preferred or the equivalent combination of education, training, or work experience. Minimum high school diploma plus at least 2 years of experience in heavy accounts payable processing.
