Summary:

The Office Support Specialist will support the Accounting, Human Resources, and Administration Departments of a Precision Manufacturing Company. The successful candidate will have considerable administrative/office environment experience and possess five critical qualities: exceptional organizational expertise, attention to detail, effective communication skills, strong adaptability, and a proactive mindset.

Essential Functions:

  • Accounting Support: Assist the Accounting Department with daily tasks, including entering purchase orders in our ERP System (EIQ), placing orders, following up with suppliers on shipment and delivery dates, creating new vendor profiles, creating new client profiles, data entries, etc.…..
  • Human Resource Support: Assist with onboarding, posting of communication on bulletin boards throughout the facility, data entry, maintaining the PTI merchandise inventory, etc.
  • Documentation and Reporting: Develop spreadsheets, correspondence, and electronic presentations.
  • Data Management: Manage our ERP System (EIQ) database records and maintain paper filing systems.
  • Quotation Management: Enter RFQs (request for quotes) and assist with client quotations with input from the President.
  • Order Processing: Receive and review new client purchase orders, compare them to issued quotes, and enter client purchase orders and contracts in our ERP System (EIQ).
  • Meeting Coordination: Prepare conference rooms for meetings, liaise with visiting clients, and prepare meeting agendas as applicable.
  • Marketing Support: Support the Marketing team by posting on relevant social media channels and capturing leads in the CRM system.
  • Office/Factory Support: Restock cafeterias daily with coffee supplies.
  • General Assistance: Assist with other office needs on an as-needed basis, including party planning and maintaining general office functionality.
  • Visitor Coordination: Greet and direct visitors/clients to appropriate staff members.

Qualifications:

  • Education: Minimum AA/AS degree.
  • Technical Proficiency: Proficient in Microsoft Office, especially Excel, Outlook, and PowerPoint. Knowledge of Monday, Process St.
  • ERP Systems: Hands-on experience with ERP systems.
  • Language Skills: Must be fluent in English.
  • Experience: Minimum of 5 years of experience in an office environment.

Hours: Monday - Friday / 8am - 4:30pm
