Position Overview:
The Receptionist serves as company greeter by answering all calls and greeting company visitors. This position serves as the administrative support for the office. The receptionist should maintain documentation related to company visitors; manage supplies and telephone list and order/maintain the common areas, kitchen, conference room and filing rooms. Manage and track warehouse receipts, appointments, and related documentation, and otherwise assist with assigned administrative duties and special projects.
Principal Duties and Responsibilities (Essential Functions):
- Pleasantly greet all callers and visitors
- Answer calls through switchboard, transfer calls to appropriate person and department and take messages as needed
- Maintain accurate visitor sign in log and issue visitor tags
- Advise appropriate person about telephone or computer issues.
- Communicate to HR of office/building maintenance and repairs.
- Communicate, create and maintain logs for warehouse receiving appointments.
- Maintain and update telephone extension list
- Maintain filing system and room
- Order, organize and maintain lobby, supply room, and kitchen
- Provide and maintain log for Proof of Export
- Assist with Insurance Certificates
- Assist Accounting Department recording daily transactions as needed.
- Complete special administrative projects and overflow from other departments
- Other duties as assigned

Supervision Received/Exercised:
Supervision is provided by the Office Accounting Manager. Position requires the ability to work under general supervision. There are no supervisory responsibilities.

- Strong skills on Microsoft Word, Excel, Outlook and applicable software programs
- Able to use basic math and formulas to solve problems, add, subtract, multiply and divide quickly and correctly
- Knowledge of company policies & procedures relating to the position and applies them consistently
- Knowledge of Customs and Border Patrol (CBP) security regulations for export documentation
- Able to maintain customer confidential information
- Ability and willingness to prioritize and meet aggressive deadlines
- Perform with a high level of accuracy and attention to detail
- Bi-lingual, Spanish/English
Education, Certification & Experience
Education: Requires a high school diploma, or equivalency.
Experience: Up to two (2) years of demonstrated experience in receptionist or administrative support positions. Some experience with clerical basic accounting helpful.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Physically capable of effectively operating office equipment, including but not limited to: personal computer, calculator, copies and fax machines. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
