Duties
- Greet visitors and clients, answer phone calls, and respond to emails in a professional and courteous manner.
- Manage and maintain the reception area, ensuring it is tidy and welcoming to all visitors.
- Perform administrative tasks such as data entry, filing, and preparing documents using Google Suite.
- Provide administrative support to other departments as needed.
- Assist with scheduling appointments and meetings.
- Maintain accurate records and ensure that all documents are up-to-date.
- Utilize QuickBooks to manage office expenses and accounts.
- Demonstrate strong organisational skills, prioritising tasks to meet deadlines.
- Maintain confidentiality and handle sensitive information with discretion.
- Provide excellent phone etiquette, ensuring that all calls are handled promptly and professionally.
Experience
- Proven experience in an administrative role, preferably in an office environment.
- Proficiency in Google Suite, including Google Drive, Google Docs, and Google Sheets.
- Experience with data entry and clerical tasks.
- Knowledge of QuickBooks and ability to learn new accounting software.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- High school diploma or equivalent required.
Skills
- Proficient in administrative tasks and office software.
- Strong computer skills, including the ability to computerise administrative tasks.
- Excellent phone etiquette and customer service skills.
- Ability to work in an office environment and maintain a professional demeaner.
- Experience with QuickBooks and Google Suite.
- Organisational and clerical skills.
- Experience in a receptionist or administrative role.
- Ability to work independently and as part of a team.
