Job Summary

The Executive Administrative Assistant will provide dedicated administrative support to our leadership team in a professional, confidential, and organized manner. This role is based in our headquarter office in Plano, TX.

Key Responsibilities
  • Monitor and respond to email and phone calls, coordinating issues as necessary.
  • Maintain multiple calendars and schedule meetings, both on and off-site.
  • Update and manage distribution and contact lists.
  • Coordinate travel arrangements and T&E records for executive management.
  • Build and edit PowerPoint presentations to support the VPs or their teams.
  • Assist with setting up and managing customer meetings and market tours.
  • Coordinate staff meetings and external events, including team meetings and leadership planning meetings.
  • Support special meeting requests, including room booking and meal provisions.
  • Partner with other Admin Assistants for seamless support and project coordination.
  • Work directly with Executive Admins and others on calendar planning and joint events.
  • Lead the on-boarding process for new associates, including securing laptops and company credentials.
  • Manage POs and invoice execution.
  • Process system access requests and office supplies logistics.
  • Organize and maintain department files, both electronic and hard copy.
  • Daily interaction with Functional Teams.
  • Support the team in tracking down information and content within the organization.
  • Maintain confidentiality and professionalism in handling company material and personal information.
  • Work effectively under pressure and exercise discretion when handling sensitive information.

Compensation and Benefits
  • The expected compensation range for this position is between $50,600 - $75,950.
  • Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary.
  • Paid time off, including paid parental leave, vacation, sick, and bereavement.

Qualifications
  • 5+ years of experience as an Executive Admin Support, preferably in a Consumer Goods Company and supporting Customer Sales Teams.
  • Detailed knowledge of Microsoft Excel, Outlook, PowerPoint, and Word.
  • Experience with Microsoft Teams and ability to become proficient in multiple IT applications.
  • Ability to prioritize work and multitask, with a strong sense of urgency.
  • Outstanding organizational and follow-up skills, with discretion when handling sensitive information.
  • Excellent written and verbal communication skills, with a strong creative thinking and problem-solving ability.
  • Respect and value differences, acting with integrity.
  • Excellent administrative and organizational skills, with the ability to work effectively in a dynamic environment.
  • Ability to exercise professional standards, discernment, and discretion when handling sensitive information.
