The HR Coordinator is responsible for assisting in the administration and coordination of various HR functions, including recruitment, employee engagement, benefits administration, and compliance. This role requires strong organizational skills, attention to detail, and the ability to handle sensitive information confidentially.
Responsibilities & Duties
- Onboarding Process Management – PreHire, Onboarding Setup, New Hire Paperwork, I-9 Paperwork, ID Badges, New Hire Boxes, Orientation
- Offboarding Process Assistance – Voluntary Termination Paperwork, Mailing out Termination Packet with Final Paycheck, Coordinating with Offices and Payroll, Termination Checklist Tasks
- Recruitment Process Management – Job Posting, Sponsor Jobs, Maintain and Update ATS
- HR Email Inbox Monitoring – Responds to Questions, Resetting Passwords, etc.
- Audits and Compliance Support – Running Reports, Audits, Compliance, etc.
- Assist with Benefits Administration – Answering Questions, Education Employees, and Benefit Enrollments
- HR Systems Oversight – Ensuring only Active Employees are in those systems
- Safety Administration Support - Assist with safety related duties and tasks as needed
- Assist with Employee Engagement – Wellness Program, Agent of Action, Employee Recognition, Birthdays, Anniversaries, etc.
- Maintain Electronic Personnel Files, including gathering documents for Personnel File Requests
- HR Administration - Verifications of Employment, EDD/Disability Inquiries, DMV, etc.
- Assist with Performance Management Administration – Track Progress and Completion of Performance Reviews
- HRIS Administration – Data Entry, Audits, Maintaining HRIS, etc.
- Assist and Participate with Training to Employees and Managers (Public Speaking)
- Assist with department administration
- Assist with creating standardized process maps for HR Systems and Processes
- Assist Payroll with best practices to comply with CA Wage and Hour
- Handle the mailing of HR items, letters, and other documents/packages as needed.
- Ensures all activities in the area of responsibility meet CARF requirements
- Actively promotes, exemplifies, and teaches Adjoin’s code of ethics and Adjoin’s values.
- Works on assigned HR Projects to improve the department and/or organization
- Other duties as assigned
Minimum Requirements
- 18 years of age or older
- 1 year experience in an administrative setting supporting a variety of functions
- Bachelor’s Degree in Human Resources, Psychology, Sociology, Organizational Leadership, or related discipline
- HR Certificate, SHRM or HRCI certification a plus
- Experience with HRIS administration
- Excellent verbal and written communication skills
- Strong analytical and problem-solving skills
- Well-developed interpersonal skills are critical.
- Demonstrated computer literacy (MS Office) and capability to maintain well-organized records and files.
- Ability to follow detailed, multi-step instructions is critical to this position.
- Ability to multi-task, work under pressure and manage time is also an essential component of this position.
- Demonstrated ability to effectively navigate and maintain professional boundaries as custodian of confidential information.
- Insured, registered vehicle in safe working condition, and proof of current CA driver’s license.
Position Requirements
- Ability to travel within and throughout the counties in which services are provided on as-needed basis to attend meetings, trainings, etc.
- Successful completion of pre- employment drug screen and background check.
- Physical evaluations may be required dependent upon specific assigned duties or compliance requirements and may include a TB test and/or a lift and transfer test.
- Acceptable DMV record.
