We are searching for a qualified Business Services Coordinator to help keep our conference center running efficiently. The BSC will also work closely with and provide support to the senior management team, manage the calendar for conference rooms, keep organized and restock supplies for conference center, liaison with building management/security and more. The coordinator will serve as the first point of contact for our clients, visitors, and employees, and answering phone inquiries. Must be a personable and detail-oriented individual. We are looking for someone who is dynamic, proactive individual who is looking to grow and learn the operations of a law firm.
Individual is responsible for managing the reception and conference areas, phones, coordinating meetings, as well provide administrative support to Senior management. The job responsibilities and duties include, but are not limited to:
- Greet and assist visitors in a professional and courteous manner.
- Liaison with building management/security.
- Answering, screen, and forward calls.
- Schedule and book meetings and events.
- Keep the reception area, catering kitchen, and conference center/rooms organized, stocked, clean and set up for meetings/events.
- Assist Senior leadership with other projects and administrative tasks, as needed.
- Provide administrative assistance using Microsoft 365 – word, excel, etc.
- Work closely with Office Services/Facilities team.
- Assisting Director of HR with catering and logistics for internal Client and firm events.
Schedule:
Monday to Friday – 8:00AM – 5:00PM
40-hour work week
Must be flexible with schedule and able to work overtime when needed.
Skills and qualifications:
· Strong written and verbal communication skills
· Excellent organizational and time management skills
· Strong interpersonal skills, both in person and over the phone Friendly, service-oriented personality
· Keen attention to detail
· Ability to comfortably multitask and shift gears throughout the workday.
· Problem-solving and basic troubleshooting skills
- Ability to prioritize tasks according to urgency and meet tight deadlines.
- Proficiency with basic office equipment and office management software (Microsoft 365 programs)
Preferred qualifications:
Professional attitude and appearance
Prior work experience as a Receptionist, Front Office Representative, or similar role
Minimum 2 years’ experience.
Law Firm or Professional Service experience required
Administrative background
Strong communication skills
Ability to strategize and implement new processes for increased efficiency
Excellent writing skills
