Stronghold is seeking an Executive Assistant who will provide critical administrative support and direct assistance to the Managing Partner alongside his Senior Executive Assistant. This individual will cover a wide scope of responsibilities and will exercise good judgment in all situations. The ideal candidate will have strong written and verbal communication, exceptional administrative and organizational skills, and be able to handle competing priorities with hard deadlines. A successful candidate will have the highest integrity and discretion in dealing with privileged and sensitive information.

Responsibilities:

  • Manage workload and prioritize tasks in a fast-paced environment with dozens of daily requests that require timely completion
  • Maintain complex schedules in both Outlook and Microsoft Word with excellent attention to detail
  • Anticipate needs of Senior Executive Assistant and Managing Partner for maximum efficiency and impact with all communications, tasks, meetings, and projects
  • Coordinate internal/external meetings, organizing logistics and communications to necessary parties
  • Manage correspondence and calendar for maximum strategic impact
  • Expense report management
  • Assist with complex business and personal travel arrangements for the Managing Partner and/or other key employees
  • Create detailed itineraries and agendas as necessary
  • Prepare and proofread internal and external correspondence, presentations, reports, and other documents
  • Maintain daily files as well as contact information database for efficient and effective organization
  • Partner with other key staff members to schedule offsite meetings
  • Attend meetings to document discussions, action items and critical dates
  • Assist with personal matters, including but not limited to domestic and international travel, vehicle maintenance, insurance, household errands, etc.
  • Support family office accountants as necessary with tasks such as personal accounts maintenance and expense coding
  • Assist with event planning and coordination for corporate and personal events
  • Work seamlessly with Senior Executive Assistant to support Managing Partner

Stronghold Executive Assistant: Requirements

To be successful in this role, candidates should be professional, polite, and attentive while also quickly and efficiently producing highly accurate work product. The individual should always be prepared and responsive, willing to meet each challenge. The Executive Assistant must be comfortable with Microsoft Office computer systems as well as mobile devices, general office tasks, and Excel as well as excellent verbal and written communication. The Managing Partner travels regularly, so the candidate should be able to maintain an organized and accurate travel calendar as well as be able to make last minute changes at any given time.

Requirements:

  • A bachelor's degree
  • At least 3-7 years' experience assisting c-level executives and/or senior investment professionals
  • High degree of professionalism in dealing with diverse groups of people, including board members, investors, senior executives, staff, community leaders, donors, funded portfolio companies, and family members
  • Make appropriate, informed decisions regarding Managing Partner's priorities and available time
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Handle confidential and sensitive information with the utmost discretion
  • Ability to complete a high volume of tasks and projects efficiently with limited guidance
  • Participate in shared responsibly of monitoring Outlook e-mail, mobile devices, and Slack during evenings and weekends
  • High personal and professional moral code
  • Ability to multitask and prioritize tasks
  • Excellent time management skills
  • Great verbal and written communication skills
  • A proactive approach to problem-solving with strong decision-making skills
  • In-depth understanding of entire MS Office suite, Google Docs, Google Sheets, Zoom and Teams
