About this job

The Coordinator I, Accounts Payable is responsible for working with CarMax stores, external partners, customers, and other internal partners to execute a variety of support function for the Accounts Payable team. The responsibilities in this role are cross-functional across multiple desks. Duties include executing the check printing process and electronic payment file staging, preparing financial records for offsite storage along with record documentation, and supporting various audits through retrieving documentation (both internal and external). A successful Coordinator I in Accounts Payable must demonstrate strong teamwork, a drive to deliver timely, high-quality work and a commitment to customer service.

What you will do – Essential Responsibilities

Typical responsibilities may include:

  • Execute all payment formatting activities to process paycycle OR print and distribute paper and electronic payments.
  • Perform daily auditing functions to ensure payment data accuracy and verify all electronic files were received and confirmed by the bank. Partner with accounting systems and technology resources to resolve payment processing discrepancies.
  • Provide administrative support to Payables teams including but not limited to:
    • Overnight mail preparation
    • Check reprint and testing activities
    • Printing payment support documentation
    • Daily research and distribution of returned mail (e.g., vendor & customers returned payments)
    • Assist with scanning invoices over to our stores for approval and reviewing invoices
    • Daily filing daily departmental work and preparing documentation to be sent offsite for imaging or storage
    • Other administrative duties as required
  • Provide administrative support for internal and external audits.
  • Work on projects as assigned.

Education and/or Experience

  • High school diploma or equivalent required
  • 1+ years of business-related experience required (e.g., bookkeeping, cash management, office management)
  • Experience with basic accounting concepts a plus
  • Basic level in Microsoft Excel required (e.g., sorting, filtering, subtotals, shortcuts)
  • Basic level in Microsoft Word, Teams, Outlook highly preferred
  • Experience in Cloud ERP solution (e.g., Oracle) is a plus
